Position Overview

The Enrolment Services in Student Enrolment Serives is currently seeking a Full-time Regular Assistant Registrar.

Reporting to the Associate Registrar Enrolment Services, the Assistant Registrar provides strategic direction in planning and implementation of a strong, visible centralized registrarial service area that includes being accountable for the implementation of University academic policies and procedures while leading excellent customer service to all students via the front service area and call centre. The Enrolment Services department supports over 85,000 inquiries annually. Drawing on a strong background in registrarial services, financial services, and student affairs, the Assistant Registrar, Enrolment Services will provide leadership and will be accountable for three key services: student course registration, student fees & financial aid and student record integrity. The Assistant Registrar will be responsible for the oversight of the government financial aid programs including U.S. Direct loan funding in collaboration with the manager of Financial Aid. The Assistant Registrar Enrolment Services will manage the electronic and web communication strategies for Enrolment Services. In addition, the Assistant Registrar, Enrolment Services contributes to the general operation of the Office of the Registrar as a management team member.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Provides overall leadership and supervision to a team of 18
  • Accountable for the integrity of all registration processes, student financial processes and student record integrity processes administered by the Office of the Registrar
  • Must provide strong leadership to direct reports and management of the Enrolment Services team
  • Develop business protocols and procedures to deliver a superior level of service and experience to students, alumni, staff and faculty and ensure integrity of the academic record for each student
  • Responsible and accountable for the development and training of each member of the Enrolment Services team
  • Creates annual service plan document with service targets based on student demand and student cycle
  • Provides Oversight on the day to day operations for Enrolment Services, and consults with other areas of the Registrar Office to ensure coordination of services
  • Organizes work and delegates responsibility to maintain service and operational standards to financial aid manager and senior advisors
  • Identify and develop operational systems and processes to enhance service provision, particularly in the areas of registration, student financials, financial aid and the integrity of the student record
  • Utilizes data and statistics to forecast trends in the RO with the support of the senior advisor systems and technology, creating monthly and annual reports and service planning
  • Accountable for the communication, implementation and change management of new practices resulting from policy review and creation, primarily in the Registrar’s office, but also in the academic calendar and government regulations related to financial aid, and Finance
  • Accountable for the provision of understanding of current administrative practices as they relate to PeopleSoft for all undergraduate academic records 35,000 students.
  • Ensure the Office of the Registrar components related to Enrolment Services web and print communications are relevant and accurate
  • Develop and create an annual report for Enrolment Services
  • May be a member of working groups and committees on occasion.
  • The Assistant Registrar may represent the University of Calgary as a member of ARUCC, WARUCC, ASAPA and CASFAA

Qualifications / Requirements:

  • A university degree is required; a master’s degree is preferred
    3-5 years progressive leadership experience in the post-secondary setting, with experience in student services
  • Demonstrated ability to supervise, organize, motivate, manage performance, mentor and develop staff
  • Strong managerial experience
  • Strong project management skills and a high degree of coordination skills
  • Effective communicator and presenter for varied audiences
  • Excellent relationship management skills to work with a variety of partners in the campus community
  • In depth knowledge of student services/registrarial topics and trends affecting post-secondary education
  • Demonstrated ability to develop and implement strategies providing strong service standards to students and the campus community. Ability to develop processes and utilize technology to increase efficiencies
  • Advanced experience working with Word and Microsoft Excel
  • Experience with PeopleSoft and government financial aid portals would be an asset
