Position Overview

The  Faculty of Nursing is currently seeking a Full-time Temporary Relief Graduate Programs Student Advisor for approximately 1 year.

This position is fully responsible for advising prospective and current Graduate Programs students related to all Graduate Programs.  As such this position requires the ability to consistently use discretion, maintain professionalism, confidentiality and composure under pressure, demonstrate adaptability and flexibility, and provide efficient, quality advice.  The Student Advisor frequently works closely with students, staff, and faculty, and therefore must have highly developed verbal and written communication skills.  This position works as part of a collaborative team but determines their own priorities and deadlines. A high level of concentration and strong organizational, analytical and problem solving skills are required as the impact for error is high.


Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Student Advisory:

  • Provide student applications advisory for all Graduate Programs that includes:
    • Assist students with application and supporting document submission;
    • Liaise with Graduate Program Administrator for all thesis and doctoral applications;
    • Maintain Nursing general email account (NursGrad) and respond to prospective student inquiries;
    • Maintain student Admission Tracking Database for all Graduate Programs;
    • Advise students regarding Open Studies policies and procedures
  • Master of Nursing (MN), Nurse Practitioner (NP) Course Based Student Administration & Thesis and Doctorate student administration including
    • Assist students in the registration process;
    • Track student course progression and ensure that students follow the correct course trajectory to complete program within allowed timeframe;
    • Ensure students apply for convocation and are aware of related procedures;
    • Review exception cases and provide recommendations to Graduate Programs Administrator for review prior to Associate Dean’s final decision; and
    • Ensure student retention is maintained by providing excellent student advisory services
  • Nursing Post-Baccalaureate Certificate Program student administration including
    • Perform all of the student advising functions listed above and advise students on the similarities and differences between the traditional degree program route and certificate program, including the required course progression, admission process and procedures, enrollment and time to completion;
    • Administering webinars to provide students with information normally provided at recruitment sessions, town halls and new student orientation

Practicum/Project Information:

  • Enter practicum placement information into HSPnet.
  • Ensure that students have placement prior to their practicum and liaise with Faculty Supervisor when anomalies occur.
  • Liaise with students and Alberta Health Services (AHS) sites to ensure students have all required access (IT, AHS, pager, etc.)


  • Attend the Graduate Curriculum Committee (GCC) and the Graduate Programs Committee (GPC) meetings and retreat and follow up on position related action items.
  • Attend the Nurse Practitioner Committee (NPC) meetings and act as recording secretary taking minutes and following up on action items.
  • Compile admission files and scholarship awards files for the Graduate Awards and Admissions Committee (GAARC) members to review and attend GAARC meetings following up on position related action items

Qualifications / Requirements:

  • Post-secondary degree in Administration, Communications or Business preferred
  • Minimum of 3 years of student administration and student advisory experience in a post-secondary setting
  • Minimum of 3 years facilitating graduate recruitment events
  • Highly developed verbal and written communication and interpersonal skills
  • Strong organizational skills with the ability to set priorities, handle complex issues and multi-task is essential
  • Strong problem solving and analytical skills with proven ability to problem solve and adapt quickly to changing priorities is critical
  • Ability to conceptualize, design and implement new approaches to graduate advising and student administration
  • Advanced knowledge in PeopleSoft eProcurement systems is required
  • Demonstrated ability to work independently and in a team environment, with minimal supervision
  • Demonstrated ability to take initiative
  • Advanced skills in Microsoft Office applications (Word, Excel, PowerPoint, and Access), Health Sciences Placement Network (HSPnet) and Desire2Learn (D2L) is essential
  • Proficient in the use of social media, navigating the internet and creating and updating web communications
  • Demonstrated understanding of Nursing and Faculty of Graduate Studies policies and regulations related to admission, scholarships, supervision, examinations and other related areas
  • Demonstrated understanding of Alberta Health Services (AHS) and Nursing Education Program Approval Board (NEPAB) systems and practices
  • Ability to perform needs assessments, trend analysis and statistical reports
  • High level of professionalism, diplomacy and the ability to use good judgement and maintain confidentiality is critical
  • Demonstrated ability to be resourceful, creative, and innovative while working in a team based environment
  • Demonstrated understanding of the University’s mission, culture, policies, and practices is beneficial
  • Ability to relationship build to meet the requests of others and develop strong positive working relationships
