Position Overview

HR Operations within Human Resources is currently seeking a Full-time Regular Assistant, Data Integrity.

This position reports to the Manager, HR Operations, and supports HR Operations in a variety of capacities and contributes to resolution of employment issues in a multi union environment.

The HR Operations team is comprised of both the Data Integrity and Benefits and Leave Administrative  groups. The Data Integrity Team administers employee data (hires, changes and terminations) for all staff groups, and leads or is involved in the administration of various annual HR processes. The Benefits and Leave team manage all employee benefits and leaves, including the administration of the University's sick leave program.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Accurately interpret, enter and maintain data in the HR Information System (PeopleSoft) as it relates to the employee life cycle, review and approve expenses, support the administration of the relocation program and support the team in documenting changes to procedures, practices, and policies
  • Respond to data and process related inquiries from employees, managers, HR staff and other university stakeholders; escalating more complex and impactful issues (e.g. retroactive payments) to the (Senior) Administrators or Team Lead(s)
  • Run reporting and complete audits to ensure data in PeopleSoft is complete, correct and compliant within a timely fashion; also performs peer reviews and audits for other team members
  • Support documentation and associated filing needs for Academic, Staff and Benefit files
  • Pull terminated files and follow archive rules to storage any dated materials
  • Support HR Ops team in planning and actioning with general filing needs and generally contribute to the improvement of filing systems, including organization and access of files, tracking sign outs, managing relocation documents and files, and organizing historical documents
  • Support benefit activities as part of stabilizing recently introduced benefits technology
  • Participate in auditing and verification of data in system and in reports, identifying discrepancies to the Team Lead or Manager
  • Participate in continuous improvement of team processes and operations; identifies opportunities for improvement in process or data to Team Lead or Manager

Qualifications / Requirements:

  • Bachelor Degree in related field (i.e.: Business Administration, Human Resources, Commerce, etc.)
  • One year of recent, related experience.  An equivalent combination of education and experience may be considered
  • Attention to detail, demonstrated analytical and problem-solving skills
  • Proven organizational and time management skills
  • Excellent communication and customer service skills, tact and diplomacy
  • A proven commitment to modeling team values, collaborating with others to achieve timely and ideal results
  • A strong working knowledge of Microsoft Office applications (Word, Excel, Outlook)
  • Strong client/customer service skills
