Position Overview

The Conference & Event Management within Ancillary Services is currently seeking a Recurring Part-time Events Attendant.

The University of Calgary, Conference & Event Management operates a number of rental facilities that cater to business clients throughout the year.  Reporting to the Event Space Coordinator, the applicant will be required to create room set-ups, supervise events, and aid in the daily operations of the department in a professional and courteous manner.  Work is done on a per-function basis and can occur at different venues at any time of day.  Some travel on campus may be required.


Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Assist with arranging rental space in various campus locations to the exact specifications set out by the event planners and to act as additional, predominantly evening, event support
  • Read set up notes and execute the room set-up maintaining fire code and departmental guidelines
  • Communicate with supervisors, clients, and other staff to create the most optimum set-up
  • Extensive labour including lifting tables, organizing chairs, and arranging staging will be necessary
  • Exhibit some audio-visual knowledge and have basic computer literacy
  • Willing to engage in any task assigned including cleaning and assistance during events
  • On occasion, the employee may be dispatched to a second location within a shift to help out where needed
  • Maintain customer satisfaction through an event noting and communicating any positive or negative outcomes
  • Facilities under the employee's domain will be set and maintained according to the exacting standards set out by the department and the University

Qualifications / Requirements:

  • Must possess above-average physical dexterity and be able to lift 50 lbs
  • Must exhibit exemplary language skills with the ability to follow verbal and written instruction; interpreting event notes is also necessary
  • Some ability in operating audio visual and computer equipment is required
  • Must possess Standard First Aid Certification, will have to submit completion of certification within 30 days of hire
  • Pro-Serve would be an asset
  • Possess exceptional customer service skills and exude a friendly outgoing attitude to clients, other employees, and management
  • Must be able to take directions from senior staff members and be pro-active in anticipating and fulfilling client requests
  • Excellent problem solving abilities
  • Possess superior reliability and regular availability
