Position Overview

The Downtown Urban Campus is currently seeking a Full-time Regular Team Lead- Facilities and Client Services.

The Team Lead - Facilities and Client Services coordinates the work of the full-time and part-time facilities staff.   The Team Lead is responsible for ensuring that the campus is maintained to the standards expected in a Class A building with the outcome that campus users have a safe and comfortable work environment to carry out their activities.  The incumbent is also responsible for ensuring time-sensitive event and classroom setup of furniture, staging, and podiums according to predetermined floor plans. 

This position reports to the Campus Director with the work performed under minimal supervision. This position is a part of the AUPE Collective Bargaining Unit. 

The intended hours of work are Monday through Friday from 9:00 a.m. to 5:00 p.m. with a 30 minute lunch break. Depending on the needs of the campus, these hours may be adjusted from time to time.  Occasional weekend work may be required. Overtime may be required and the incumbent might be expected to be on standby.  Callouts to the campus can be expected during emergencies to assist building operations as needed. Therefore, it is important that the incumbent have flexibility to adjust shifts as needed.

This position requires work be carried out with the following conditions: within confined spaces, heavy lifting, year round indoor responsibilities, and limited outdoor responsibilities.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Coordinate general maintenance, upkeep and repairs of the Downtown Campus by developing an annual maintenance plan; identifying equipment needed; estimating annual maintenance cost;, and scheduling regular and recurring tasks according to available time and seasonality
  • Ensure that equipment, workspaces, and tools supplied by the University are used for their intended purposes and are maintained in a safe working order
  • Review weekly campus reports to ensure appropriate facility staffing levels.Schedule full time and part time facility staff
  • As part of client services, the Team Lead ensures that classroom, meeting, event, and multi-purpose spaces are well-maintained with the proper allotment of tables and chairs arranged according to the specifications and time bound needs of the users
  • Provide reliable and professional customer service to the campus community and to other external users
  • Communication must be precise, emails and phone calls responded to promptly, and attention to detail must be exemplary
  • Care must be taken to ensure information is relayed with accuracy to multiple people
  • Requires a high level of task planning based on both the weekly campus activity reports and regular maintenance tasks
  • Constant multi-tasking and weighing of situations with full understanding of the impact of decisions
  • Ability to manage the planning and execution of work as priorities may shift with little notice
  • Work in close collaboration with internal and external stakeholders including Colliers Property Management Building Operators, Security Staff, Cleaning Staff, Audio Visual Staff, and Event rental clients (both U of C and Corporate) who reply on facility services for smooth event logistical services
  • This role ensures that the instructions provided by the Specialist, Events and Business Development are implemented and that any last minute requests by Clients are responded to according to Campus protocols
  • Accountable for ensuring there is optimal use of facility staff time as a resource and that there is superior communication in the hand-off between shifts

Qualifications / Requirements:

  • Experience leading a small team is an asset
  • Non-certified general facility maintenance experience is required
  • Mechanical aptitude and proven ability to use hand and power tools, to work on ladders at various heights, and demonstrate a safety-conscious attitude
  • Knowledge of basic technology operation including turning on classroom computers and projectors; troubleshooting screen operation; and helping instructors get setup for class start
  • Knowledge of basic facility maintenance such as drywall mudding, taping, sanding, and painting techniques
  • Basic knowledge of plumbing repairs, use of small hand tools, construction fundamentals, furniture and lock repair
  • Experience using Microsoft office suite including word, e-mail, outlook calendar, and an iPhone as a mobile communication devices
  • The incumbent must have an excellent track record of reliability, for example with being on time for work, responding to emails on a timely basis, and managing a calendar to keep track of important dates/deadlines/meetings
  • Must hold a valid minimum Class 5 Alberta Driver’s License with less than 7 demerit points.  Learner's, probationary, graduated license, or motorcycle/moped only license will not be acceptable. A driver’s abstract will be requested
  • University maintenance and event setup experience would be an asset
  • Physical strength and stamina and be able to lift up heavy (up to 25 kilograms)
  • Ability to perform physical activities that require considerable use of arms and legs and moving whole body, such as climbing, lifting, balancing, walking, stooping, and handling of materials, year round indoor and limited outdoor responsibilities
  • Ability to walk and stand for long periods of time, as well as be able to work in cramped positions
  • Ability and willing to work in a variety of environments, including office settings, classrooms and event/meeting spaces, and storage/service areas
  • Strong work ethic and initiative relating to continuous improvement, possessing the personal qualities of integrity, trustworthiness and reliability, high standards, and ethical values
  • Superior organizational skills with ability to prioritize, manage time, and meet deadlines
  • The ability to work flexible hours (evening and weekends as required), in a fast-paced, team- oriented yet self-directed work environment
  • The incumbent must be fluent in both written and verbal English
