Position Overview

Hotel Alma & Seasonal Residence is currently seeking a Full-time Regular Rooms Revenue Specialist

Reporting to the General Manager, Hotel and Conference Housing, the Rooms Revenue Specialist is accountable for communicating the organization's current financial health and providing recommendations on improving the status quo via developing and analyzing various revenue reports. The Rooms Revenue Specialist position within the hotel operation has been designed to prepare individuals seeking a career path in "Revenue Management" (ie. Hotel Revenue/Rate & Inventory/Yield management) or Business Analysis. The work is complex and requires the ability to manage multiple tasks and deadlines. Communication with the University community, external market managers, staff and guests is constant and requires professionalism, attention to detail and independent judgment. Workloads are heavier at peak periods, especially from May through August. The Rooms Revenue Specialist operates in a busy office environment with high business volumes on a daily basis. Given the need to respond to peaks in the operating cycle, there is a requirement to work certain weekends, evenings and holidays.

 

 

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Recommend growth efforts, monitoring progress, and ensuring that the hotel is competitively positioned within the marketplace
  • Participate in developing and implementing revenue management and forecasting for successful inventory management, and associated reporting on a timely basis
  • Gather and analyze statistics, yield information and all other relevant information in order to identify potential new business, markets and trends, and to minimize risk
  • Responsible for completing a variety of reports to help the organization track financial health and progress
  • Prepare pace, pick-up, forecast, and market segment reports, maintain on a daily basis by monitoring actual results versus forecast for plan achievement
  • Complete and analyze month-end reports
  • Manage inventory and allotment across all distribution channels
  • Prepare and execution of weekly RevMax meetings, with follow-up as required
  • Actively involved in customer relationship management, reporting on guest feedback and trends
  • Support Reservations/Front Office with call volumes/emails, and confirming reservations
  • Support and collaborate with the Sales team to ensure that all hotel rooms are sold at their maximum revenue potential and the hotel maintains rate integrity
  • Communicate sales and rate strategies with Reservations/Front Office and providing assistance/direction when required
  • Ensure the University is represented in a professional manner to all external and internal clients and stakeholders at all times

Data Analysis

  • Recommend growth efforts, monitoring progress, and ensuring that the hotel is competitively positioned within the marketplace
  • Develop, analyze, and communicate various reports for management review on all aspects of room occupancy, maximizing room rates, revenue generation and cost control
  • Compile historical data and month end reports as required by the Senior Sales Manager and the General Manager, Hotel Alma & Seasonal Residence. e.g.: 30/60/90 day forecast reports, month-end, etc.
  • Accountable to record and analyze all refused, lost, cancelled and waitlisted sales opportunities
  • Accountable for compiling and analyzing external reports- e.g.: reports from 3rd party booking engines/market share and production reports, STR Reports etc. and compilation of the same for data further analysis
  • Data entry into various computer systems, including Excel, Epitome, Hotel Reservations system, STR and 3rd party extranets. Utilizes systems, tools & reports in the prescribed way to ensure all revenue management decisions are supported with relevant data analysis.
  • Develop new and ad hoc reports as required for the preparation of revenue management meetings or data analysis
  • Responsible for analyzing and presenting data that will help the Senior Sales Manager and the General Manager, Hotel Alma & Seasonal Residence to make well-informed decisions about potential new business & the market in general
  • Identify underlying information by breaking down data into separate parts
  • Follow through on commitments/assignments and complete tasks, successfully dealing with obstacles as needed
  • Maintain a working knowledge and understanding of the policies, procedures, aims and purpose of the University of Calgary
  • Develop and maintain knowledge of applicable policies, legislation, collective agreements and regulations and apply appropriately

Rates & Inventory Management       

  • Responsible for Championing PMS & 3RD Party booking engines and diligently maintaining rate & inventory on the extranets
  • Responsible for accurately loading, maintaining and balancing Hotel inventory and rates daily in PMS, CRS & external booking channels ensuring rate parity across all the channels
  • Responsible for building rate plans onto the PMS in accordance with the BAR, Net rates and promotions on the booking engines
  • Accountable to ensure maximum exposure (inventory availability and appropriate rates), and that revenue opportunities are consistently monitored and identified
  • Accountable to accurately maintain rate availability, inventory allocations and stop sells as well as content information across all the booking channels
  • Display a thorough understanding of all the booking channels and uses the PMS and reservation systems to determine, implement and control rates and inventory
  • Ensure that the sales strategies and rate restrictions are implemented and modified with fluctuating market conditions
  • Responsible to check distribution channels for Hotel positioning, and information accuracy
  • Ensures inventory cutoff dates are managed according to demand

Administrative

  • Assist Reservations/Front Office with call volumes and entering reservations
  • Process and confirm guest room reservations made by clients over phone or email
  • Accurately input all reservations into PMS, recording all pertinent information and assist Reservations/Front Office in attending to inquiries, complaints and requests regarding reservations
  • Demonstrate comprehensive product knowledge, understand rate structures and accordingly apply rate management strategies
  • Responsible to promote and maintain positive public relations & endeavors to maximize business opportunities
  • Deliver all reservations services in a professional and timely manner
  • Accountable to implement, modify, or discontinue services in accordance with departmental needs and based on feedback from guests, colleagues and managers
  • Accountable to ensure all Reservations/Front Office staff are trained on reservations procedures to direct/refer all reservations activities appropriately
  • Must be knowledgeable of campus events, local activities  and major conventions to forecast demand

Collaboration

  • Coordinate and communicate with the leadership team to maximize rate
  • Communicate sales and rate strategies with Reservations/Front Office and providing assistance/direction when required
  • Liaise with Reservations, Front Office and Sales for the required data analysis
  • Play a proactive role & participate in the property's bi-weekly operations meeting and revenue meeting
  • Compile and analyze competitor information through rate shopping via phone or the Internet and present to Leadership team
  • Build an effective working relationship with hotel operations to maintain their trust and confidence in the revenue management decisions and actions being taken pertaining to inventory and rate control, pricing and overbooking
  • Work closely with the Supervisor, Front Office to ensure agreed sell-out strategies are in place
  • Establish and maintain trust from others within and outside the department by acting ethically and respectfully
  • Understand and follow all codes of professional ethics
  • Own relationship with OTA'S, communicate with the market managers and establish effective relationships with them
  • Work closely with the Sales team regarding individual and group reservations processes
  • Work closely with the Supervisor, Front Office to provide feedback and input on customer comments on TripAdvisor and other relevant distribution channels
  • Work under the direction of the General Manager, Hotel Alma & Seasonal Residence and in coordination with the Senior Sales Manager to ensure accurate and timely rate management

Qualifications / Requirements:

  • University degree or college diploma in a related field preferred
  • 2-3 years of experience with demonstrated progression in reservations and/or revenue management in the hospitality industry with a strong focus on achieving targets and objectives
  • Proficiency in computer programs including Microsoft Office Suite with expertise in MS-Excel and general knowledge and comfort working with other systems is required
  • Previous Systems Experience-CRS, PMS, Front Office an asset
  • Confident in communicating with a wide range of people, both inside and outside hotels
  • Ability to interpret data, recognize trends
  • Ability to produce reports from many different data sources with a high degree of accuracy and quality, delivered in a timely manner to meet appropriate deadlines
  • Experience working in a high volume, high stress environment with an ability to multitask and effective prioritizing
  • Ability to work effectively in a team environment
  • Must possess outstanding analytical and communication skills, attention to detail is essential
