Position Overview

The International Relations within the Office of the VP (International Operations) is currently seeking a Full-time Regular Partnership Officer .

University of Calgary International (UCI) has the responsibility for institutional international partnerships and program agreements, working with faculties, staff and students to facilitate, develop, and promote international activities. Specific aspects of its responsibility include facilitating agreements, hosting special events and visiting delegations, and arranging outgoing missions.

The Partnerships Officer, reports to the Regional Manager (Europe, Middle East and Africa) and works as part of a team under the leadership of the Regional Manager to facilitate partnership agreements and assist with coordinating events, incoming delegations and outgoing missions, including logistics and protocol. S/he must work collaboratively to coordinate and liaise with internal and external stakeholders to finalize institutional partnership agreements and partnership-related initiatives including visitors and delegations to campus. S/he will perform activities requiring a high level of attention to technical detail, protocol and etiquette, interacting with administration, academic units and faculty members at UCalgary and around the world. The functions of attending to visiting delegations to campus and preparation and facilitation of partnership agreements and outgoing missions are closely linked and require careful coordination and attention as well as collaboration with team members. S/he will work as part of a team providing a holistic approach to the partnerships and protocol area.

Judgment requiring discretionary decision making impacts partnership development at the Faculty, University and international partnership level. The incumbent will act as an expert partnership resource person to Faculties and Departments. Excellent understanding of the culture, procedures and policies of higher education is required. Stress levels are moderate but can escalate to a higher level depending upon the number of agreements being negotiated and processed within a short period of time and the amount of incoming and outgoing delegations.

Responsibilities are carried out with minimal supervision, adhering to departmental and institutional guidelines. Work volume is normal given constant prioritization of activities and tasks.

Responsibilities can normally be carried out within regular business hours of operation, however occasional evening and weekends are required

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Agreement/contract negotiations are successful, being mindful of University requirements and policies and procedures; new or renewal agreements developed ensuring successful communication, coordination and finalization of agreements
  • Materials and documents are prepared in a timely manner ensuring accuracy, a professional image and completeness of information
  • Linkage and communications documents for UCI, including country/regional linkage activity reports are written with accuracy, consistency and in a professional manner
  • Website data and information on international linkages is accurate
  • Prioritization of activities, coordination with UCI agenda and that needs are identified and responded to or referred appropriately in a timely and professional manner
  • Feedback is provided to Regional Manager on how to improve policies and procedures for international linkages
  • Linkage templates are updated as required in consultation with the Regional Manager and Legal Services
  • An accurate and up-to-date linkage process system is maintained which includes the necessary information for effective and efficient retrieval and presentation of data, indicating the status of a linkage agreement at any point in time
  • Filing systems are maintained according to UC requirements and information is readily available
  • Linkage and partnership inquiries are handled in a timely manner providing clients with accurate information
  • Meetings for incoming delegations and outgoing missions are organized and communicated affectively with both internal and external participants
  • Protocol summaries are written and provided to internal participants to guide behaviours and customs for visiting delegations
  • Regular or casual/student staff are appropriately supervised, ensuring that they have the necessary tools and information to be a successful member of the UCI team
  • Events are planned from start to finish according to the requirements, target audience and objectives

Qualifications / Requirements:

  • A university degree in an appropriate discipline
  • Previous experience relevant to a career in international education and/or international relations in academic institutions
  • Excellent computer skills: Microsoft Office (Word, Excel, Access); Internet/web and email
  • Experience working with databases
  • Excellent written and verbal communication skills
  • Strong cross cultural communication skills
  • Time management, organizational and interpersonal communication skills
  • Excellent knowledge of University structures, policies and procedures
  • Experience with agreement/contract development and negotiation
  • Ability to work on cross-functional teams and collaborate across units/departments
  • Attention to detail
  • Excellent writing and editing skills in English
  • Critical thinking
  • Ability to summarize and synthesize information for a variety of audiences
  • Experience with logistics
  • Cultural awareness through international travel, work, volunteer or study abroad considered an asset
  • Knowledge of a Regional language in addition to English (like German or French) considered an asset
