Position Overview

The Executive MBA Programs in the Haskayne School of Business is currently seeking a Full-time Limited Term Program Administrator for approximately 7 months.

The successful candidate will support other core team members, particularly with regard to planning and delivering logistics. The successful candidate will assist with the maintenance of key information sources, and implementation of policies and procedures. In addition, the position will assist with the production of branded materials, including course materials.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):


  • Assists with administrative processes related to admitting students
  • Supports the programs in administering contracts and invoices
  • Assists with developing, maintaining and tracking the master schedule. Assists with the maintenance of key information sources, including PeopleSoft, D2L, and SharePoint, and manages program records in compliance with University of Calgary policies
  • Documents, maintains and monitors program policies and procedures.
  • Provides administrative support to team members, including scheduling team and othermeetings with internal / external stakeholders
  • Other administrative duties as may be required


  • Provides logistics support for the programs
  • Manages the quality of logistics and other services relating to the events
  • Key point of contact for catering team and other outside service providers

Qualifications / Requirements:

  • Relevant post-secondary education
  • Minimum of 3 years related experience within an educational institution required, a combination of relevant education and experience may be considered
  • Knowledge of executive and/or professional development programming
  • Knowledge of university culture, processes, and procedures
  • Proven customer service orientation required
  • The ability to effectively and reputably manage relationships, communicate and productively interface with faculty members and support staff is essential
  • Strong planning and organizational skills, as well as effective decision making and problem solving ability required
  • Very strong communication skills, as well as highly developed client relationship management skills required
  • Highly-developed organizational and time management skills are required
  • Proven ability to deal effectively with complex, often-evolving sets of priorities, using judgment and initiative to resolve issued is required
  • Ability to navigate within a large organizational structure to ensure that students enjoy a seamless educational experience is required
  • Demonstrated ability to be a team player is essential
  • Positive and professional demeanor is essential
  • Collaborative mindset is essential
  • Exceptional working knowledge of Microsoft Office is required
  • Working knowledge of online collaboration tools is required
  • Comfort dealing with both new challenges, and ambiguity, considered an asset
  • Knowledge of industry issues in the energy sector would be considered an asset
  • Must be able and willing to travel domestically and internationally to support either program
