Position Overview

The External Exam Centre within Student and Enrolment Services is currently seeking a Part-time (28 hours/week) Temporary Relief Exam Centre Administrator for approximately 18 months.

Hours of work:

Tuesday to Friday: 8:30am-4:30pm

The Examination Centre goal is to provide assistance with the administration and proctoring of the professional written and computerized exams to students at the University of Calgary Exam Centre. The vision is to work collaboratively with the campus community and partner institutions to create an accessible, equitable and supportive environment that enhances each student's academic experience in a safe environment while upholding academic integrity. 

The Exam Centre Administrator will report to the Associate Registrar, Enrolment Services and will be responsible for coordinating and planning the services and accessibility to the Examination Centre including financial responsibilities and scheduling Examination Proctors, as well as working directly with students and other staff.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Enter students for examinations, to ensure systems are in place to record and communicate the entries of each student
  • Liaise with the other institutions and students to ensure that exam conditions are met and that the examinations are fully communicated to all parties
  • Organize and train invigilators and ensure payment processes are in place
  • Track delivery of exam packages for each session and for each center
  • Forecast and plan schedule of exams and proctors as demand is needed
  • Demonstrate respect in the workplace
  • Respond courteously and accurately to student and faculty inquiries about testing procedures and accommodated exams
  • Ensure students are provided with appropriate accommodations during their exams
  • Manage own time effectively to accomplish tasks, proximity and supportive
  • Maintain a high level of confidentiality, in particular in regards to sensitive student information
    **Physical Demands**
  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is occasionally required to reach, lift, stoop, kneel, crouch or crawl. The employee is regularly required to stand, walk, sit; talk and hear. The employee must occasionally lift and /or move up to 25 pounds. Work Environment - The noise level in the work environment is usually quiet

Qualifications / Requirements:

  • Flexibility and ability to perform multiple tasks
  • Strong interpersonal and communication skills in handling a range of situations, which may include complex, sensitive and confidential issues
  • Excellent organizational skills
  • Experience in an office environment and standard office equipment, personal computer and printer and with MS Office Suite (Word, Excel, Outlook, Access, PowerPoint)
  • High level email communication skills essential skills
  • Experience working with students at the postsecondary level an asset
  • Ability to effectively communicate (written and oral)
  • Ability to work effectively both independently and with others
  • Ability to work with sensitive and highly confidential information
  • Ability to produce accurate and detailed work in completing routine to complex tasks
  • Ability to exhibit professionalism in representing the organization both internally and externally
