Position Overview

The Graduate Programs in Education in the Werklund School of Education is currently seeking a Full-time Temporary Relief Practicum and Internship Coordinator for approximately 6 months.

The Practicum and Internship Coordinator reports to the Manager, Graduate Programs in Education (GPE) and has strong accountabilities to the Associate Dean, Graduate Programs. 

The normal work day is 7 hours per day (8:30 - 4:30), five days per week, Monday to Friday.  This is a temporary relief full time position and is part of the AUPE Collective Bargaining Unit.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Practicum and Internship Coordination

  • Coordinates practicum and internship placements and assists students in establishing appropriate practicum and internship arrangements for students in Educational Psychology and Bridge to Teaching programs
  • Administers practicum student placements and provides student orientation regarding placement process requirements
  • Handles inquiries from students and potential placement locations
  • Reviews documents related to practicum and internship placements
  • Provides administrative support for orientation of practicum and internship supervisors
  • Submits documentation as required, for GPE and School reviews
  • Act as secretary and scribe for two committees: The Educational Psychology Pre-doctoral Internship Consortium (EPPIC)  and Graduate Programs in Education - Pre-doctoral Internship Committee (GPE-PIC)
  • Oversees honorarium payments for practicum supervisors
  • Establishes and maintains accurate records (both electronic and paper records) of key data, including such information as key communications, submissions, field associates, and practicum and internship settings
  • Tracks information required for self-studies and accreditation applications and other documentation for CPA, CCPA, etc., such as student practicum hours, supervisor qualifications, site information, etc
  • Maintains a resource to include the organizations that facilitate placements, for example, related agencies, application dates and procedures, and requirements for such things as police verification or criminal checks
  • Develops and updates information guides
  • Advises current and prospective students on practicum and internship placements and responds to questions as appropriate
  • Conducts reviews of processes and procedures, and works with Associate Dean, Manager and Director to enact improvements

Other Duties

  • Acts as a resource to GPE for the processes around archiving files as well as FOIP rules. Act as the contact person for University Archives
  • Oversees the administration of the USRI evaluation for the Graduate Programs Office
  • Provides support in the organization and coordination of adhoc student projects as assigned by the Associate Dean or Manager, GPE

Qualifications / Requirements:

  • Bachelor’s degree, preferably in Education or related discipline
  • Minimum of 5 years of work experience within a professional office environment
  • 2-3 years of work experience in a post-secondary educational setting
  • Expertise and experience in career development, management and practicum/work term administration and experiential learning
  • Exceptional interpersonal and communication skills, organizational, analytical, conflict resolution and problem solving skills to deal effectively with complex tasks and issues
  • Ability to provide detailed accurate information including potential implications when responding to complex inquiries
  • Demonstrated ability to maintain a high level of accuracy and successfully manage multiple conflicting priorities
  • Ability to establish effective working relationships with all levels of management, academic and support staff members along with a positive attitude and demonstrated ability to be a collaborative team member
  • Ability to work independently, handle multiple tasks and show initiative in dealing with a variety of requests
  • A strong working knowledge of Microsoft Office systems (Word, Excel etc.) is essential
  • Experience with PeopleSoft systems an asset
  • Career Development Association of Alberta (CDAA) certification an asset
  • Strong and thorough understanding of employment and placement industry in Calgary
  • Competence in public speaking and workshop facilitation
