Position Overview

The University Bookstore within Ancillary Services is currently seeking a Full-time Regular Supervisor, Course Materials.

Ancillary Services is a progressive community of passionate people who value the student experience and deliver exceptional services to students, faculty, and staff at the University of Calgary, as well as to visitors and guests on campus. The Bookstore is one of the units within the Ancillary Services portfolio.

This position reports to the Manager, Operations of the Bookstore and has a close working relationship with Supply Chain Management. This position is responsible for all course and trade materials sold in the bookstore and ensures the requirements of students and faculty are met by the bookstore. Judgment and decision making impacts financial outcome of the department. This position develops, monitors, modifies and maintains processes which meet the objectives of ensuring course materials are available when needed and expected by the academic community. This position ensures all personnel are fully trained in the procurement of course materials in order to meet the goals/objectives outlined previously. The position is further charged with ensuring financial viability is met through annual results which meet or surpass the approved budget expectation. This position in conjunction with the management team develops, implements, monitors and modifies bookstore policies and procedures.


Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Leadership and direction of the staff working in the course materials and information desk areas of the bookstore
  • Interview and selection of staff for direct reports, as well as performance manage team and conduct annual performance reviews
  • Responsible for the appearance and layout of the course/trade material area
  • Responsible for the inventory and asset management of course/trade materials
  • Responsible for the smooth operation of the textbook rental program in store
  • Leverage IT systems to improve operations and end-user experience
  • Coordinate and ensure that all digitally available course materials are available for customers through our digital delivery system and website
  • Ensure a high level of customer service is available for customers
  • Implement best practices for managing inventory
  • Work closely with Supply Chain Management to ensure appropriate sourcing agreements are in place
  • Responsible for problem resolution of issues relating to the requisitioning, acquisition, return, and pricing of course materials
  • Anticipate and plan for changes in the business environment for the production and delivery of course materials
  • Continually evaluate key business processes and implement improvements where necessary
  • Make recommendations to update bookstore policies/procedures
  • Resourceful in using available technologies to provide value-added customer service to clients
  • Maintain and develop good working relationships with other university departments, external customers and suppliers, industry organizations and internal clients
  • Maintain a high level of professionalism when dealing with students, faculty, suppliers and university employees
  • Positive attitude and ability to be collaborative team member
  • Participation, preparation and completion of inventory counts, both cycle counts and year-end
  • Maintain knowledge of principle of conduct for the University of Calgary and aligns self with core values and direction

Qualifications / Requirements:

  • Post-secondary degree or SCMP designation
  • Excellent communication and leadership skills
  • Strong analytical skills
  • Business process design experience an asset
  • Understanding of supply chain concepts an asset
  • Substantial experience in a University/College bookstore is a strong asset
  • Ability to co-ordinate and prioritize multiple tasks and demands
