Position Overview

The Student Success Centre in Student & Enrolment Services is currently seeking a Full-time Limited Term Student Success Program Assistant for approximately 12 months.

The Student Success Centre (SSC) at the University of Calgary is an integrated hub designed to promote the students’ academic and personal success The SSC supports the University’s key initiatives of enhancing student engagement, increasing student retention, and ensuring student satisfaction with their university experience.  The Student Services Program Assistant is the primary reception coordinator and front-line student services support for the office and a key support person for the various programs and services offered by the Student Success Centre (SSC). This position supports logistical, volunteer, scheduling, training and communication needs of programs and services. This position works in a collaborative, team environment with office staff and deals with multiple, shifting priorities and constant interruptions in a busy reception environment. The Student Services Program Assistant reports directly to the Manager, Student Success Centre.

The primary purpose of this position is to provide full-time student services advising and coordination support for the SSC and its programs. The Student Services Program Assistant is also responsible for the mentoring and support of SSC peers as they participate in SSC program delivery or front desk support.

 

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Advising and Referral

  • Coordinates, provides and oversees the primary reception for the office (e.g. answering telephones, email, assisting and resolving visitor inquiries, triaging student needs and making referrals to appropriate SSC resources and staff, responding and tracking incoming and outgoing correspondence)
  • Ensures the provision of excellent customer service to students, triaging student concerns and providing appropriate information and referrals to ensure student needs are addressed
  • Provides basic advising for students and refers to SSC advisors for more detailed and complex advising needs
  • Works closely with other university support services to ensure that student inquiries are addressed in a timely and effective manner
  • Adheres to all University policy and regulatory requirements, including FOIP legislation

Program Coordination and Delivery

  • Supports program and event logistics that may require booking facilities, arranging catering, drafting agendas and organizing materials
  • Coordination of on-line Appointment Booking System - oversees implementation and maintenance of online appointment-booking system for SSC staff, and volunteer staff in the Student Success Centre
  • Manages SSC databases, event registration and appointment systems, scheduling of volunteers, and booking and scheduling of workshops and programs
  • Coordinates, develops and edits SSC communications and publications, including web and print material, social media and email messaging
  • Provides statistical and data entry support for program evaluation and assessment
  • Coordinates certificate programs including student registration, attendance, feedback and triage

Mentorship and Support

  • Plays a key role in recruiting, training, scheduling and supervising peer volunteer and paid staff for SSC reception, academic advising, supplemental instruction, and student registration assistance programs and services

Teamwork and Collaboration

  • Develops rapport with advisees, faculty and campus staff to create and maintain open and collaborative relationships
  • Manages time effectively to accomplish tasks and meet deadlines
  • Attends regular staff and reporting meetings
  • Participates in cross-training to assist in other areas when needed and to meet Student Success Centre priorities
  • Identifies professional development needs and skill priorities; continues own personal development, learning and training; keeps current with post-secondary developments

Qualifications / Requirements:

  • 1-2 years of customer service, advising and/or administration experience and completion of post-secondary education - ideally an undergraduate degree

  • Basic knowledge of website and content management software, Excel and student and program databases

  • Outstanding interpersonal and facilitation skills as well as strong written and oral, communication

  • Demonstrated commitment to exceptional, proactive student service

  • Able to work under pressure, meet deadlines and deal with multiple priorities

  • Ability to successfully handle a large student workload with a positive student-centric attitude

  • Demonstrated ability to work independently as well as part of a team

  • Working knowledge of the University of Calgary campus and culture is an asset

  • Experience developing and providing presentations for students
