Position Overview

The Department of Medicine in the Cumming School of Medicine invites applications for a Program Coordinator. This Full-time Fixed Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.

The Program Coordinator reports to the Principal Investigator and takes direction from the team of an awarded grant from Alberta Innovates (AI) for the Partnership for Research and Innovation in the Health System (PRIHS) focused on implementing a province-wide program to help eradicate Hepatitis C (HCV) in Alberta. The program goal is to optimize pre-existing infrastructure, community-based capacity, and pharmacist scope of practice to achieve HCV cure in partnership with public, private and community sectors across Alberta. This program will work towards establishing the most effective, efficient, cost-effective and sustainable ways to enable HCV test-treat-cure for priority populations in Alberta and will inform sustainability and future scale planning.

Flexibility in hours and travel to project sites across Alberta and to meetings are required.

 

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Project Implementation
    • This will require rapidly identifying stakeholders, working with them to design and roll out projects, collecting key data elements, analyzing, and interpreting data for several project sub-studies
    • Assist the team and other researchers in the coordination and execution of multiple research sub-studies including administrative support, preparation of material for ethical review and data organization
    • Comprehensive record management of study documents, adhering to compliance regulations.
    • Travel between sites across Alberta required
    • In-scope supervision of other AUPE staff members may be required
  • Program Planning & Development
    • Leads, manages, and participates in multiple projects crossing multiple departments, business processes and stakeholder groups.
    • Analyzes issues, and defines project objectives, scope, implementation plans, resource requirements, and timelines
    • Executes and manages all assigned phases of projects and programs
    • Leads the day-to-day operational aspects of a project/program, including identifying and resolving issues and conflicts
    • Prepares project/program related communication (e.g. reports, briefings, correspondence, presentations, etc.) and manages the communication between various levels of stakeholders and the risks associated with sharing and/or releasing sensitive information
  • Strategic and Operational Planning
    • Supports the development and implementation of the planning and program development processes
    • Organizes meetings, committees, locations, agendas, goals and next-steps, and documents same through minutes/action items/task lists etc., and maintains the overall study audit trail
    • Establish Good Clinical Practice (i.e. Operations coordination)
    • Develop study material such as Case Report Forms, database development, Manual of Operations and SOPs
    • Supports the development and implementation of planning and program development processes
    • Develop infographics and relevant material for posters and advertisements; assist with presenting as required
  • Budget/Resource Planning and Management
    • Accountable for fiscal management including expenditures and sound bookkeeping/accounting procedures
    • Administer funds according to approved budget and monitor monthly expenditures
    • Provide the funder with a comprehensive report on project expenditures
    • Supports the preparation and monitoring of budgets for the research including operational activities consistent with the plans and general guidelines
    • Monitors projects and plans and reports any variance from expected outcomes to the Principal Investigators
    • Collaborates with the Principal Investigators, staff and key stakeholders to meet financial targets
  • Employment Checks
    • Valid Class 5 drivers license.
    • Successful Police Record Check required

Qualifications / Requirements:

  • Master's degree in a health or social services-related field (e.g. Pharmacy, Health Sciences, Epidemiology, Public Health) or  business is required, PhD will be considered an asset
  • Project Management Professional (PMP) certification an asset
  • Certified Clinical Research Professional (CCRP) designation from the Society of Clinical Research Professionals (SoCRA), or equivalent, an asset
  • Working knowledge research and ethics standards, policies, and procedures
  • A combination of education and professional experience will be considered
  • Workplace Hazardous Materials Information System (WHIMIS) certification an asset
  • Current First Aid/CPR
  • A valid Class 5 driver’s license (cannot be a graduated license) with proven good driving record (abstract required)
  • Minimum 5 years of experience in clinical trial/project management and/or a proven track-record is essential.
  • Experience with Data Management and working with REDCap is an asset
  • Must have experience working with health care providers and consumer groups, ideally experience with patient and/or family engagement in research
  • Must possess superior leadership skills, including demonstrated ability and comfort with decision making responsibilities, coaching and teaching, and the ability to motivate, inspire and build confidence in others to achieve common goals
  • Must have high level skills in project management and coordination including planning, development, implementation, and evaluation along with skills in organizational management and ability to manage multiple priorities and a heavy workload
  • Must possess ability to quickly comprehend the nature and scope of projects and activities being undertaken to anticipate own work, re-scheduling that might be required and information that needs to be transmitted to other staff
