Position Overview
The Department of Paediatrics in the Cumming School of Medicine invites applications for a Communications Coordinator. This Full-time Fixed Term is for approximately 13 months (based on length of grant funding), with the possibility of extension.
Reports to the Principal Investigator.
Position Description
Summary of Key Responsibilities (job functions include but are not limited to):
Communications
Assists the Department Manager, Department Head, and Deputy Head(s) in developing and implementing communication strategies within the Department of Pediatrics
Produces the Department of Pediatrics Annual Report: Responsible for the development, collection, and collating of all documents and data in collaboration with internal stakeholders and external partners. This includes implementing strategies on the distribution of the report (print/electronic and media) and reporting to stakeholders
Serves as Editor of the Department of Pediatrics newsletter: Responsible for researching, writing and collating content; design; and distribution with input from the Department Manager, Department Head, and Deputy Head(s) of Pediatrics
Responsible for facilitating communication of both urgent and routine correspondence to all members of Department and obtaining the required approvals both internally and externally
Accountable for the upkeep of the processes, standards, rules, and guidelines around the communications and strategies for communication within the Department of Pediatrics
Provides advice to continually improve communications effectiveness within the Department in keeping with the Department/AHS/UCalgary visions, missions, and values
May assist with the upkeep of electronic devices/tools to ensure the integrity of the data is maintained. When new equipment is required may assist with the development and research to ensure it meets the standards required (i.e. video/monitors specifically within the Department, ensuring a variety of communication tools are used)
Contributes to a social media strategy and online presence that advances the priorities of the Department
Website Administrator
Responsible for ensuring circulation of all rounds notices and special events notices for the Department of Pediatrics, including Educational Rounds for PGME/CME/UME, retreats and events
Accountable for the overall functionality and effectiveness of the Department of Pediatrics website, collecting information, maintaining updates and links, and working collaboratively with Web Development on development and design
Coordinates, maintains and facilitates submissions for the website on a regular basis and ensures that the integrity of the data is maintained
Works collaboratively with our stakeholders to ensure that all media(s) are utilized to maximize the effectiveness of our website for the Department and its partners
Administration/Special Projects/Other
Participates on the Department of Pediatrics Professional Affairs Advisory Council and incorporates feedback to improve communications
Participates on the Department of Pediatrics Gender Equity & Diversity Task Force and provides assistance with development and execution of written report, collating data to help ensure reporting is comprehensive and clearly written
Spearheads initiatives to improve communication strategies and website effectiveness
Develops and maintains communication/web manuals and procedures and ensures backup strategies are in place
Qualifications / Requirements:
Minimum of 3-5 years related experience and completion of post-secondary education in a relevant area such as Communications, Public Relations, Marketing or Journalism required
Excellent project management skills
Excellent interpersonal, organizational and communication skills
Ability to work independently with excellent problem solving skills
Ability to solve complex problems and meet multiple deadlines in a fast-paced environment
Proven success working in highly complex environments and managing sensitive and confidential issues
Maturity in dealing with a wide range of situations with diverse stakeholders
Demonstrated proficiency in writing and editing for different communication channels
Demonstrated ability in professional writing, preparing reports and conducting reviews for the purpose of presentation and publication
Experience with planning, scheduling and producing print and electronic communications
Experience in using, researching and evaluating emerging social media platforms, including Twitter
Experience or training in the areas of visual communications, web or digital design, and graphic design
Advanced level of experience in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, Visio and Publisher)
Experience with Adobe Photoshop, Illustrator, and InDesign
Experience with University systems, including Marketo and Drupal
Knowledge of University core business systems is desirable
