The Office of Continuing Medical Education in the Cumming School of Medicine invites applications for a Manager, CME & PD. This Full-time Fixed Limited-Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.

The University of Calgary Office of Continuing Medical Education & Professional Development is fully accredited by the Committee on Accreditation of Canadian Medical Education (CACME) and is an accredited CPD provider for the College of Family Physicians of Canada (CFPC) and the Royal College of Physicians and Surgeons of Canada (RCPSC). We offer a broad range of evidence-based learning opportunities to physicians, other health professionals and the public in a variety of formats from face-to-face to online and blended learning.

The Continuing Medical Education & Professional Development (CME&PD) Manager reports to the Associate Dean, CME&PD. This role assumes minimal supervision and is responsible for the management and supervision of approximately 10 AUPE employees, ensuring the quality of course and program design, implementation and delivery, related operations, and adherence to financial budgetary constraints.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Finance & Budget
    • Financial Management: preparing budgets and financial forecasts, financial analysis, including variance analysis and analyzing/recommending opportunities for cost savings and efficiencies
    • Regular monitoring and adjusting the budget in response to actual spending and changes in operational needs to ensure fiscal sustainability
    • Forecasting future financial needs based on programmatic goals and ensuring that budgets are aligned with strategic priorities
    • Develop grant proposals and contracted service agreements, process contracts and legal agreements through university procedures, monitor grant activities, ensure compliance and generate reporting on grants
    • Support the tasks of the finance coordinator and ensure internal processes are developed, monitored and reviewed for improvements for operating, project and grant-related financial transactions, including monthly reconciliation
    • Provides regular budgetary updates to the Associate Dean
  • Leadership & People Management
    • Support and reinforce medical leadership in strategic and business planning. and strategic priorities such as sustainability and educational excellence
    • Identify high importance and high urgency issues and bring to the attention of the Associate Dean with remediation recommendations. Follow through on decisions and response plan
    • Support Associate Dean in business development activities, such as new service inquiries and service agreements
    • Develop productive relationships with internal and external stakeholders, aligning CME activities with institutional resources
    • Identify, review, sustain and revise operational processes and improvements in collaboration with leadership and staff
    • Liaise with University units (IT, legal, finance, CSM, etc.) to align CME activities with institutional resources, policies, and practices
  • Educational Program Management
    • Program Design and Implementation: Guide the development and implementation of CME programs using evidence-based instructional design. Supervise all logistics including speaker arrangements, venues, and marketing
    • Project Management: Apply project management methodologies to ensure timely delivery. Monitor progress and adjust as needed
    • Staff Management and Operations: Allocate staff and resources effectively, set priorities, and provide coaching. Ensure onsite supervision and logistical support
    • Compliance and Accreditation: Ensure that educational activities meet national accreditation standards for CACME, CFPC, RCPSC
    • Support the identification and development of scholarship opportunities within educational programming, and associated projects, timelines and discussions

Qualifications / Requirements:

  • Master's Degree in education or business management or an equivalent combination of education, training and experience
  • A minimum of 5 years of managerial experience in education or health environment
  • A minimum of 3 years of managerial experience within a unionized environment
  • Ability to act decisively, to exercise a high degree of initiative and judgment
  • Developed competencies in strategic thinking, creativity and innovation, focusing on client needs, teamwork, leadership, decision-making, planning, organizing, and problem solving
  • Experience in curriculum design, implementation, and evaluation of continuing professional development activities an asset
  • Experience in recruitment, performance evaluation, and if necessary discipline and/or termination
  • Experience in setting performance objectives for teams and working with complex processes
  • Excellent oral and written communication skills to draft clear, concise correspondence, as well as to respond to enquiries with tact, confidentiality and discretion
  • Excellent computer skills, proficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint)
  • Open to learning and development, and be willing to accept new challenges and assignments
