The Payroll Team in Finance is currently seeking a Full-time Regular Coordinator.

The Payroll Production Coordinator reports directly to the Manager, Payroll Operations and supports the operation of the Payroll function regarding priorities, projects/tasks; ensures accurate, timely, and relevant processing of the time, pay and benefits for all employees. Understands and applies internal and external rules and regulations to ensure compliance. Evaluates HCM payroll processes and procedures and proposes changes for improved efficiency and productivity. Liaises with Work Force Administration, Payroll Operations, Payroll Administration, and Benefits.

May require flexible hours in order to meet the applicable payroll deadlines, continually strives for excellence, maintains good customer relations, leads by example.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Process the pay period time and labour, prepare and complete each payroll run.
  • Support the Senior Payroll Production Coordinator on internal and external payroll audits, retro calculations and T4 preparation. 
  • HR/Benefit process auditing and data checking of entries into PeopleSoft.
  • Provide recommendations/solutions to better leverage the system and ensure consistency throughout business practices.Run and validate various audits to ensure information is accurate and complete for processing and reporting.
  • Ensures payroll deadlines are met by managing projects and priorities.
  • Schedules and completes all jobs required to process a successful payroll in relation to HCM modules.
  • Willingly shares job knowledge, provide and support staff learnings.
  • Audit responsibilities are kept up to date and concerns are identified and resolved.
  • Must promote and foster an open, respectful environment in line with our service culture, mission, vision and values at all times.
  • Understand the impact of miscommunication or misunderstanding.
  • Provide backup support &/or vacation coverage for the Senior Coordinator, Payroll Production and the Payroll Analyst.
  • Participate in senior level payroll duties as required by Manager, Payroll Operations.

Qualifications / Requirements:

  • 4 years or more payroll or HR experience.
  • Completion of PCP and/or working towards Certified Payroll Manager (CPM) designation through the Canadian Payroll Association would be a definite asset.
  • Experience in a post-secondary education environment and/or knowledgeable of University policies and procedures would also be a definite asset.
  • Knowledgeable in interpretation and application of Alberta Labour Standards, Provincial WCB, union contracts and government regulatory compliance.
  • Strong attention to detail, judgment skills, demonstrated analytical and problem solving skills are required to deal with complex issues and concerns.
  • Strong interpersonal skills and the ability to work independently or as a member of the team.
  • Proven organizational and time management skills are required to manage and set priorities and meet commitments and timelines.
  • Excellent verbal and written communication skills are required to communicate with the diverse community of the University.
  • Diplomacy and confidentiality are essential at all times.
  • Must be able to exercise sound judgment with established guidelines.
  • Proficient with the PeopleSoft product with regards to running all processes to complete pay administration.
  • Strong working knowledge of Microsoft Office applications is required.
  • Experience in a post-secondary education environment would be an asset.
