Financial Operations within Finance is currently seeking a Full-time Regular Specialist, Accounts Receivable/Accounts Payable.

Reporting to the Supervisor, Accounts Receivable, the Specialist, AR/AP provides financial administrative support to Financial Operations and departmental programs and activities within Students Receivable and Accounts Payable. This position is responsible for supporting transactional and administrative business while upholding university and departmental regulation, policy, compliance, and service standards.

This position requires an understanding of university processes as well as an understanding of the Financial Operations portfolio and commitments.  This role requires collaboration with staff and stakeholders campus wide.  The demands and work volume associated with this position can be significant, particularly during peak periods occurring throughout the year.

Summary of Key Responsibilities (job functions include but are not limited to):

  •  Provides administrative support to Accounts Receivable including coordinating meetings,  document management, mail distribution and general administrative assistance.
  • Triage and action administrative requests incoming to accounts receivable and student receivables. 
  • Download and process daily deposits to PeopleSoft. Follow up on any discrepancies. 
  • Action student service requests (SRQ) in PeopleSoft to transfer credit funds between Academic-to-Residence UCalgary Accounts. Triage requests to Residence Services for processing of Residence-to-Academic transfer requests. Respond to students on the status of their request and close the SRQ. 
  • Action student and external ServiceNow finance requests for sponsor payments and new student inquiries.
  • Calculate and post adjusted late fees on student accounts at the request of the Registrar¿s Office.
  • Support third-party payment and invoicing processes including outreach to stakeholders to communicate preferred payment options.
  • Responsible for processing Accounts Payable incoming mail.
  • Ensure compliant invoices are processed into PeopleSoft, and non-compliant invoices are rejected and returned for corrections.

Qualifications / Requirements:

  • A minimum two-year post-secondary credential (certificate, diploma, degree) in business administration, office administration, accounting/finance, or a related area.    
  • A minimum of 5 years¿ experience in an office administrator position. 
  • Experience in a post-secondary administrative role is an asset. 
  • Experience with accounts payable or accounts receivable tasks is preferred. 
  • Experience working in a high traffic / high volume environment with constant inquiries and interruptions.
  • Demonstrated organizational and time management skills together with proficient written and verbal communication skills. 
  • Experience with the initiation and implementation of process improvements for administrative activities.
  • Ability to be flexible and manage a heavy workload and stress during peak periods. 
  • The ability to work under minimal supervision, exercising discretion in decision making is required. 
  • Highly proficient with Microsoft Excel, possessing the ability to use spreadsheets, tables, pivot tables, vlookup calculations at an intermediate level is required. 
  • Intermediate to advanced working knowledge of Microsoft Office, MS Outlook e-mail, Internet and web-based applications.
  • Experience with PeopleSoft (Student Administration, Finance & Supply Chain, Human Resources) is an asset.
