The Information Technologies is currently seeking a Full-time Regular PeopleSoft Security and Portal Team Lead.
As a member of the team PeopleSoft Security & Portal Team Lead reports to the Associate Director, ERP Systems, this full time, regular position provides a lead role in the planning, design, deployment and maintenance of the ERP-PeopleSoft Enterprise Portal and all security.
As a lead for this ERP functional support team, this role includes analyzing business requirements and designing, testing and implementing solutions, including business process changes, modifications to existing functionality, or new functionality within the PeopleSoft portal application. This work is specific to Security and Portal support across all PeopleSoft applications. Work arises from planned maintenance/upgrade project requirements, observed issues/problems with the current system, and requests for enhancements or new functionality.
As owner of ERP Enterprise portal, this role includes leading the ERP Working groups to support & maintain the application, liaising with IT Partners on intake, strategy and tactics, coordinating the flow through the Change Management cycle, acting as application Functional experts that understand the Business Application Configuration, Analysis, Functional Design, Application Testing and end user Communications. This job provides leadership to the ERP Security & Portal Functional Analyst ensuring that exemplary business analyst services are provided to the business teams. As the primary point of contact for ERP specific inquiries from the service center, this role is also responsible for ensuring Knowledge Documents are maintained and continually improved and communicated to the service center.
These technologies and services are critical to the ongoing operation of the University IT infrastructure and are available 24 hours a day, seven days a week. The nature of the job requires the incumbent to work quickly and efficiently in high stress situations where errors can result in a high community impact. The job also requires some work to be performed outside normal business hours.
Summary of Key Responsibilities (job functions include but are not limited to):
- Work with customers, IT Partners, Project Managers, and representatives from various faculties/departments on campus to understand technical requirements or issues
Researching and defining technical and security standards - Perform PeopleSoft security and portal administration that includes role based access control, lifecycle management and change control
- Clarify and fully resolve user issues in a timely manner, coordinating solution with other support units and departments ensuring continued business operation.
- Ensure that quick and efficient response can be provided for critical service failures outside of core business hours
- Lead the design process using his/her own technical expertise and challenge design team members on their technical recommendations where needed and appropriate
- Design solutions in collaboration with IT Application Developers, with primary responsibility for system configuration and/or reconfiguration
- Validate the development/configuration against the design specifications
- Develop all testing criteria, scripts and test plans to ensure that system changes and enhancements function as designed
- Participate in cross-functional troubleshooting, analysis and testing with other PeopleSoft functions and IT units (e.g. Finance, Student, Enterprise Reporting)
- Coordinate User Acceptance Testing of security and portal changes
- Implement tested solution into production environment following change control procedures
- Communicate changes and enhancements to end users and trainers to improve consistency of usage across units and departments
- Collect statistics and report on key performance indicators
- Act as a security and portal functional SME for ERP-Peoplesoft projects
- Guide operational support and prioritize work intake for Tier 3
- Manage PeopleSoft Access Request customization (PSAR); authorization of some role set requests and portal configuration/security changes
- Roadmap and continuous service improvement for operation of PeopleSoft identity, security and role based access management
- Involved with audit (OAG/internal) for ERP Change Audits
- Help plan roadmap and continuous service improvement for operation of PeopleSoft identity, security and role based access management
- Drive initiatives and participate in projects that are related to enterprise portal
- Maintain confidentiality of user profiles, account information, and other potentially sensitive data
- Eliminate any single points of dependency on software or people
- Ensure PeopleSoft user access is as secure and reliable as it can be
- Analyze business requirements, evaluate and recommend appropriate solutions
- Fully document requirements and issue/resolution options
- Ensure data integrity by developing and running queries to assess data quality
- Research New and Emerging Technologies:
- Stay current with the best practices in other post-secondary education organizations and the industry
- Devise, maintain and enforce appropriate PeopleSoft technical standards
- Work with the leadership team to build annual goals and objective for themselves and their staff
- Manage a functional team in the ERP security and portal organization
- Lead as an escalation point and organize the team through challenging issues with the goal of root cause determination and build a remediation plan to resolve issues
- Ensure all systems are aligned with the IT's architectural standards and roadmaps
- Act as a security and portal functional owner for ERP-PeopleSoft operations and projects
- Ensure leadership team are kept informed of activities, issues and progress with projects
- Ensure quality control reviews and remediation are conducted with the Lead Functional Analyst including:
- Requirements documentation review
- Fit Gap review
- Test script and plan review
- Test execution and defect resolution review
- Security review (if applicable)
- Migration Request review
- Consultation and Communication to IT units and IT partners:
- Coordinate or collaborate on projects and provide functional and technical support to IT units and IT partners
- Maintain current and timely communication across other IT units and IT partners on matters of mutual interest and importance
- Responsible for ensuring all documentation is detailed, accurate, timely, and meets the requirements of the project stakeholders and operational excellence. These documents may include, but are not limited to:
- System configuration guides
- Standard operating procedures for daily activities
- Portal and security application setup and configuration
- Service catalog request items
- Incident handling and tracking
- Release documentation
- Support documentation, FAQs, known issues, errors
- Requests for Change
- CMDB add/change/remove data
- Develop technical documentation, standards and guidelines
Qualifications / Requirements:
- Completion of an Undergraduate degree in Computer Science or a similar field.
- Masters level knowledge of functional analysis and design in one or more PeopleSoft modules, including experience with configurable tables and custom processes.
- Professional training and/or certification in PeopleSoft security and portal process and best practice
- Advanced knowledge of software including MS Project, Visio, SharePoint, SQL and Query Tools
- Excellent verbal and written communication skills.
- Strong problem solving and analytical skills, self-motivated, ability to work with minimal supervision and as part of a team
- Knowledge of project management methodologies, processes, standards and policies an asset
- Ability to work effectively in a changing environment
- Analytical skills in reaching sound decisions and resolving complex problems
- Ability to develop and implement operational plans
- Ability to translate technical jargon into business-friendly language
- Knowledge of the structure and organization of the University is considered an asset
- Routine access to sensitive information and maintaining confidence of the organizations information
- ITIL v3 Foundations certification is an asset
- 6-10 years of experience with Oracle PeopleSoft ERP Application Suite specific to Security and Portal (Version 9.1+).
- Functional and technical support for PeopleSoft Enterprise Portal.
- PeopleSoft Security and industry security standards and best practices
