Course Materials within Ancillary Services is currently seeking a Full-Time Regular Senior Coordinator, Digital Course Materials.

Reporting to the Manager, Bookstore this position acts as the bookstore's primary expert in digital course materials, working closely with instructors, students, and vendors to ensure the correct materials have been selected, are available, and are correctly added to the system following the Bookstore's procedures. This position works with little direction and is considered the category specialist setting and advising on appropriate workflows, timelines, issues, and goals. Peak periods are the weeks preceding the start of term and rush during the first weeks of classes. Overtime and off campus work may be needed, and participation in the beginning of term rush, and year-end inventory is required. This is a full-time, in-person position. The UCalgary Work From Home program is not available. 

Summary of Key Responsibilities (job functions include but are not limited to):

Digital Course Material Coordinator Duties

  • Manage digital course materials with the bookstore's current and future systems and vendors.
  • Works with little direction, makes frequent decisions, and is considered the category specialist setting and advising on appropriate workflows, timelines, issues, and goals.
  • Set up and maintain systems and procedures for the purchase and distribution of digital course materials. 
  • Actively participate in digital course materials on campus to identify where the bookstore can add value and assist in future programs.  
  • Create POs and process monthly cheques from Vendors. 
  • Working within the bookstores systems, ensure the process to find and purchase digital course materials is as simple and straightforward as possible for all customers.
  • Provide tier 2 support to customers with technical issues and advocate for customers with publishers or vendors where necessary. 
  • Support, train and assist other bookstore team members with digital course materials.
  •  Develop SOPs and FAQs to ensure that all team members can provide tier 1 level support to customers. 
  • Create monthly sales reports and cross check publishes invoices
  • Create POs and process monthly cheques from Vendors. 
     

General Buying Team Coordinator Duties 

  • Working with instructors to identify required course materials, make buying decisions, place purchase orders, work with vendors, and ensure materials arrive on time at the best possible price for the students. 
  • Work to ensure the success of the Book Team through effective communication, teamwork, and problem identification and solving, and decision making to meet the Bookstore's goals and objectives. 

Qualifications / Requirements:

  • Recent post-secondary bookstore experience is required and current knowledge of digital course materials is necessary.
  • Previous purchasing experience and experience working with and negotiating with vendors are strongly preferred. 
  • A combination of a post-secondary degree plus one year of retail administration experience/post-secondary administration experience OR four years of retail administration experience/post-secondary administration experience is required.
  • Strong computer skills are essential. Intermediate to expert level of knowledge in Excel is necessary, and comfort using other standard computer programs is required.
  • Previous database experience is preferred. 
  • Strong analytical skills to make sound decisions are required. 
  • Ability to work collaboratively and interact respectfully with a variety of internal and external contacts.
  • Ability to manage multiple important tasks in an environment with rapidly shifting priorities.
  • A wide range of experience in higher education environments and a demonstrated ability to provide quality customer service is necessary.
  • Must be a team player with outstanding organization and communication skills and the ability to process and synthesize large amounts of information while paying close attention to the details.
