The Dean's Office within the School of Architecture, Planning, & Landscape is currently seeking a Full-time Regular Student Recruitment Specialist.

Reporting to the Manager, Faculty Operations, Administration & Facilities, the Student Recruitment Specialist will be an expert on student recruitment strategies in the post-secondary landscape. This role has accountability for researching, developing, and implementing an undergraduate and graduate student recruitment strategy. This individual will be focused on the recruitment and conversion of undergraduate and graduate students, and is the primary point of contact for prospective students for the School. Due to student recruitment related events, potentially within Canada or internationally, there is a requirement to be available to travel as needed, and to work flexible hours. There are moderate physical demands through carrying of necessary equipment as well. 

Summary of Key Responsibilities (job functions include but are not limited to):

Recruitment

  • Execute integrative recruitment strategy, supporting plans and budgets.
  • Lead the recruitment efforts of high-caliber prospective undergraduate and graduate students through the development and coordination of recruitment activities.  
  • This includes: information sessions, graduate fairs, professional fairs, regional/national/international recruitment activities, meeting with industry HR contacts, meeting with prospective students both individually and in groups, and other activities
  • Lead the planning, execution and management of presentations at public information sessions and other event-related recruitment initiatives.
  • Work with the School's marketing and communication team to develop and update effective marketing / recruitment strategy (print, web, and social media formats) and supporting materials including information session presentations, recruitment presentations, and supplementary recruiting materials.
  • Identify prospective students and manage one-on-one ongoing contact and engagement throughout the recruitment and admission process.
  • Actively track prospective students via the CRM system.
  • Respond to complex inquiries from candidates via web forms, emails, phone and other means.
  • Actively maintain a presence across key social media accounts, including LinkedIn.

Strategic Planning

  • Develop a comprehensive undergraduate and graduate student recruitment plan that aligns with the University's and the School's strategic direction and priorities.
  • The plan will include recruitment targets, locations of focus, and types of activity and materials that will promote the University of Calgary as a destination of choice for a quality undergraduate or graduate education through various media and in person events.
  • Work closely with program Academic Directors and colleagues in the School to ensure their needs are accounted for.
  • Develop a budget plan to support the recruitment cycle.
  • Establish mechanisms for quality control in both undergraduate and graduate recruitment activity.
  • Ensure best practice in quality of materials together with consistency of message and branding.

Conversion and Admissions

  • Lead the planning, execution and management of conversion events and other conversion initiatives.
  • Develop and update conversion plans and materials including e-marketing content campaigns, call campaigns, conversion presentations and other engagement initiatives.
  • Correspond and communicate with applicants throughout the process to ensure high-level of customer service.
  • Actively monitor incomplete files and work with the Admissions Coordinator to facilitate completion of applications.
  • Manage prospective student contact.
  • Interviewing and investigating all prospective students in advance of offers of admission in order to assess each candidate's potential for success.  
  • Preliminary assessments of an applicant's profile based on admission criteria, and providing guidance to prospective students regarding the GMAT, academic requirements, work experience, references etc.

Reporting and Analysis

  • Creation and implementation of tracking and reporting mechanisms that will measure outcomes of the recruitment strategy to inform future operational planning efforts.
  • Prepare weekly reports to inform key stakeholders on recruitment and admission numbers.
  • Identify opportunities for continuous improvement to increase the pool and quality of student applications.
  • Provide continuous evaluation of institutional graduate recruitment activities to identify areas of success and areas for improvement, communicating the results to stakeholder.s
  • Sponsored student recruitment is tracked and reported.
  • A formal report of recruitment activity, outcomes and analysis delivered annually.

Qualifications / Requirements:

  • Bachelor's degree.
  • Graduate degree is an asset.
  • A minimum of 5 years of progressive experience related to national and international undergraduate and graduate student recruitment in a post-secondary setting.
  • Comprehensive knowledge of recruitment trends, international education systems and awareness of the social, cultural and economic issues which affect both undergraduate and graduate student enrolments.
  • Proven experience with developing and executing recruitment and conversion strategies for undergraduate and graduate programs.
  • Significant experience in conducting analysis of market trends, identifying different market segments, their needs, and opportunity for market penetration.
  • A thorough understanding and appreciation of undergraduate and graduate education and the Canadian university environment.
  • Proven ability to establish objectives and to implement strategic plans to meet those objectives.
  • Proven ability to effectively navigate large organizations and manage relationships with a diverse range of stakeholders, including students, faculty, internal and external stakeholders.
  • Experience and comfort with leveraging technology to deliver high caliber services and to streamline processes as required.
  • Excellent planning and organizational skills including ability to work independently, meet deadlines, coordinate a number of projects/programs simultaneously in response to changing/conflicting priorities.
  • Proven ability to handle ambiguity and resolve emerging issues with initiative and a collaborative mindset.
  • Stellar written, oral and presentation skills.
  • Professionalism and a strong work ethic, as well as the ability to operate effectively within a dynamic, customer-facing, team environment.
  • Results oriented, with an eagerness to identify areas for improvement and potential solutions.
  • A positive, collaborative and supportive working style, with strong attention to detail.
  • Ability to travel domestically and internationally.
  • Demonstrated experience in budget management.
  • Familiarity with architecture, planning, or landscape architecture or other creative disciplines engaged in the built environment is an asset.
