Description

The Department of Paediatrics in the Cumming School of Medicine invites applications for a Platform Administrator. This Full-time Fixed Term position is for approximately 12 months (based on length of grant funding), with the possibility of extension.

The Platform Administrator will be part of the Pediatric Clinical Care Guidelines (PCCG) platform. This platform is a quality-improvement initiative which focuses on compiling an open-access database of all ACH guidelines and protocols with the scope of our database currently focusing on publishing primarily physician authored documents, but which does include multidisciplinary documentation as well. This would be a position that would be a work-from-home and/or to work on-site as needed. The demands would fluctuate with the amount of guidelines submitted for review and publishing as well as when the yearly reports are due to the ACHF. Other specific workshops and/or seminars might also cause a spike in the workload.

Reporting to the Principal Investigator.
 

Summary of Key Responsibilities (job functions include but are not limited to):

  • Assist senior team members in preparing, organizing and facilitating meetings, events and workshops, including scheduling, preparation and documentation (minutes, recordings etc.)
  • Format healthcare personnel guidelines, algorithms and other documentation that are submitted for development and/or revision, and thereafter assist Physician Lead and Senior Platform members with publishing
  • Maintain accurate records, databases and project documents (ie. Action Logs), ensuring accessibility and compliance with the expectations of stakeholders as well as to inform annual reports as developed by senior team members
  • Assist senior team members in generating PowerPoint presentations as needed on behalf of Physician Lead and platform senior team members, to be used when presenting to various internal and external stakeholders
  • Assist with presenting as required
  • Coordinate communications, including drafting materials and managing any and all social media content and/or news postings
  • Provide creative support through visual content creation, leveraging tools like Adobe Creative Suite, Canva, and ProCreate as needed
  • Assist senior team members in the collection and tracking of data from monitored use of services and provide information to various internal and external stakeholders

Qualifications / Requirements:

  • Bachelor Degree - Communications, Office Administration, Health Care or a related Field
  • Undergraduate degree required
  • Minimum 2 years of related experience in an administration role and/or in a role wherein daily attention to detail was required when managing administrative tasks
  • A combination of education and experience will be considered
  • Excellent interpersonal and organizational skills
  • Ability to problem solve in complex situations within a fast-paced environment
  • Demonstrated strong communication, team and customer service skills, and an ability to exercise judgment within established guidelines
  • Must be open to learning and development, and be willing to accept new challenges and assignments
  • A positive attitude and the ability to work independently and as part of a team are critical to success
  • Knowledge of the University of Calgary processes and procedures is desirable
  • Proficiency in Microsoft office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools like MS Teams and knowledge of Adobe Creative Suite, Canva, Procreate and other web design is an asset
  • Experience with financial tracking or basic budgeting is an asset
