Description

The Faculty of Nursing is currently seeking a Full-time Limited Term Program Specialist for approximately 2 year.

The Faculty of Nursing offers Bachelor and Graduate programs in Nursing to over 1100 undergraduate and graduate students year-round. In accordance with policies and standards established by the University of Calgary and the Faculty of Nursing, Program Specialist provides expertise in work related to admission, progression, and graduation of students in both undergraduate and graduate programs. 

The Program Specialist reports directly to the Director of Faculty Operations and has the expertise and advising ability to admit applicants, and to help future and continuing students navigate through policies and procedures to ensure a positive student experience. High standards in quality of work are necessary as errors directly affect students and the reputation of the Faculty of Nursing and the University of Calgary as a whole.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Advises students regarding the University of Calgary, Faculty of Graduate Studies and Faculty of Nursing policies and procedures.
  • Ensures the integrity of information provided to future and current students is accurate and is offered with discretion and tact to avoid misunderstandings or difficult encounters.
  • Implements, reviews, and maintains administrative and reporting processes and guidelines, to ensure optimum efficiency and effectiveness. Brings forth recommendations for change to the team and Director for approval.
  • Acts as a resource to the Faculty of Nursing, regarding interpretation of admission policies and decisions.
  • Shares responsibility to assist prospective and continuing students via email, virtually, telephone and in-person.
  • Provides advising related to admission, registration, progression, and convocation processes for students to ensure program requirements are met.
  • Conducts academic review of student records to identify students in academic jeopardy and prepare formal correspondence.
  • Ensures that degree requirements have been met Calculates Degree with Distinction and approves students for convocation.
  • Reviews admission files, with the utmost accuracy and timeliness, to verify admissibility.
  • Analyzes, approves and properly records transfer credit, ensuring standards of fairness and objectivity are upheld and maintains records to verify all these conditions. 
  • Reviews and pre-screen all Master of Nursing and Doctoral applications and liaise with the Director of Faculty Operations for specific issues.
  • Provides specialist administrative support in relation to registration, progression, and convocation processes.
  • Organizes, attends, and participates in internal, external and centralized recruiting events such as Orientation, Open House, Information Sessions, conferences and webinars. 

Qualifications / Requirements:

  • Completion of a baccalaureate degree is required.
  • A minimum of three (3) to five (5) years of student administration and student advisory experience in a post-secondary institution is required.
  • Experience working in health care professional programs, including licensure and registration required.
  • Completion of or currently pursuing a Certificate in Career Development and Academic Advising.
  • Extensive knowledge of regulations, policies and procedures of the University and in particular, in the area of undergraduate and graduate programs and admissions at a Faculty level, is preferred.
  • Excellent written and oral communication and interpersonal skills are required.
  • Strong planning and organizational skills with the ability to set priorities, handle complex issues and multi-task is essential.
  • Intermediate skills in Microsoft Office applications (Word, Excel, PowerPoint, and Access), Power BI, Health Sciences Placement Network (HSPnet) and Desire2Learn (D2L) is essential.
  • Demonstrated understanding of Alberta Health Services (AHS) and Nursing Education Program Approval Board (NEPAB) systems and practices.
  • Excellent attention to detail and accuracy is essential and is required for this position.
  • Demonstrated ability to work in a fast-paced, high pressure, environment and meet deadlines is required.
  • A positive and professional demeanor, with the ability to embrace change in a dynamic environment, is essential.
  • Demonstrated ability to be resourceful, creative, and innovative.
  • Ability to work in a confidential setting and demonstrate good judgment in dealing with sensitive or problem situations.
  • A strong desire to work collaboratively in a team-based environment to meet team goals and to continue professional development on a regular basis.
