Conference & Event Management within Ancillary Services is currently seeking a Recurring Part-time Event Services Attendant, University of Calgary Accommodations and Events.

The University of Calgary, Accommodations & Events (UCAE) Team is currently seeking a part-time recurring Event Services Attendant. This position ensures the physical coordination of all activities at all spaces managed by UCAE during weekends, holidays and off-peak hours. Event Services Attendant provides a delivery of tables, chairs and other services as per client requests across campus in a timely manner. The incumbent will also be responsible for managing and overseeing the accurate room set up in the meeting space that is managed by UCAE. The applicant will be required to follow event guidelines, setup and teardown event setup, clean event spaces, monitor events, and conduct themselves in a professional and courteous manner. Work is done on a pre-function basis and can occur at the different venues at any time of day. Frequent movement between buildings and green spaces on campus.
 

Primary Purpose of the Position:
Primary tasks include delivering tables, chairs and other equipment. Drop off and pick up in different location at the University and helping clients with event set up and tear down as well as service during the vent, by delivering high standard of service across campus.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Assist with arranging rental space in various campus locations to the exact specifications set out by the event planners 
  • Act as additional predominantly evening event support
  • Ability to read set up notes and execute the room set-up maintaining fire code and department guidelines
  • Be in communication with supervisors, clients, and other staff to create the most optimum set-up
  • Extensive labor including lifting tables, organizing chairs and arranging staging will be necessary; additionally, employees are required to exhibit some audio-visual knowledge
  • Exceptional customer service and a willingness to engage in any task assigned including cleaning and assistance during events
  • May be dispatched to a second location within a shift to help out where needed
     

Qualifications / Requirements:

  • Completion of Grade XII
  • Must successfully complete WHMIS and First aid
  • Must be able to operate a University vehicle safely and have a valid drivers license for the type of vehicle they are driving. A valid class 5 drivers license (Non GDL - Graduated Drivers License) with no current suspensions and fewer than six (6) demerits is required
  • A current drivers abstract must be provided on request
  • Previous experience in shipping and receiving operations would be an asset
  • A year experience in setting up banquets, meetings, special events and/or conferences would be an asset
  • Must have excellent people skills while dealing with clients and other staff members
  • Must possess good communication and interpersonal skills
  • Must be able to lift up to 50lbs - this may require lifting things up/ down stairways
  • Intermediate skills in working with Microsoft office
  • Must be able to address priorities and handle a number of tasks simultaneously
  • An understanding of the university and its organizational structure is an asset
  • A strong attention to detail
  • The candidate must exhibit exemplary language skills with the ability to follow verbal and written instruction; interpreting event notes is also necessary
  • Some ability in operating audio visual and computer equipment is required
  • Must be able to take directions from senior staff members and be pro-active in anticipating and fulfilling client requests
  • Excellent problem solving abilities
  • Availability to work on Thursdays, Fridays and Saturdays
