The Faculty of Veterinary Medicine invites applications for a Research Support Advisor. This Full-time Fixed Term 2 years (based on length of grant funding), with the possibility of extension.

Reporting to the Manager, Discipline Teaching Technicians and receiving day-to-day instruction from the Associate Deans - Research (ADRs) this full-time position provides specialized support and advice for the Faculty of Veterinary Medicine (UCVM)'s research agreements and programs, both pre- and post-award, in close coordination with the Research Grants and Project Advisor. This position works closely with faculty, Office of Research Services, and all other research sub-units across the university to ensure efficient and consistent application of policies and procedures.

The Research Support Advisor at UCVM has responsibility for the management and administration of externally sponsored research awards at the internal review, application, and post award stages. Working within the framework of the university and faculty policies and procedures, the Research Support Advisor is often called upon to make decisions using independent judgment. 

Summary of Key Responsibilities (job functions include but are not limited to):

  • Together with the Research Grants & Project Advisor, function as a primary contact in the Research Office for routing of research documents and fielding and triaging inquiries
  • Assume expert role in administering and advising on UCVM's internal research funding programs (i.e. Clinical Research Fund, Veterinary Education Research Fund, Internship Research Fund, Equipment Call, etc.), and sponsored research policies/procedures, and managing related internal databases
  • Assist with compilation of grant applications including proofreading assistance
  • Review grant applications and agreements for signoff on behalf of the Associate Dean, Research, including information that is confidential and sensitive in nature
  • Provide general project support for UCVM such as creating new projects, journal corrections, and answering general project/ eFin inquiries
  • Liaise with Research Services Office, Research Accounting and other related (Legal, Ethics, Procurement, etc.) departments as needed
  • Resolve complex accounting issues on post-award management side (e.g. invoices, budget revisions, consultation with sponsors, final reports, etc.)
  • Track submissions and results of grants, awards and contracts and provide progress reports upon request
  • Oversee and report on budgets within specific research modules
  • Collect and maintain research files and records for all UCVM projects, grants, and agreements
  • Proactively assist in finding new funding opportunities for researchers
  • Organize and facilitate UCVM Research Office special events
  • Work with and advise postdoctoral fellows on funding opportunities and fellowship application submissions. Oversee the organization of postdoc events
  • Provide administrative support to Faculty research support positions and services including bioinformatics and  biostatistics positions
  • Support UCVM's Research Committee and Major Prizes and Awards Committee, providing required information, presentations, data reporting and analysis as requested by the Dean, ADRs and Institutional Offices. Award nomination support may also be required

Qualifications / Requirements:

  • A post-secondary degree is required. A science-related degree is preferred
  • Excellent communication skills are required. Experience in scientific report writing and grant applications are considered an asset
  • Previous experience in an academic research-based environment is preferred
  • Demonstrated ability to work independently and collaboratively
  • Demonstrated project and time management, attention to detail, organizational and problem-solving skills are required
  • Intermediate to advanced working knowledge of Microsoft Office (Word, Excel, Outlook, and PowerPoint)
  • Knowledge of PeopleSoft and eFin are considered an asset
  • Internet search skills required
  • Experience in using a wide variety of record keeping/reporting systems and an affinity for learning IT research support systems is preferred
