Information Technologies is currently seeking a Full-time Limited Term PMO Coordinator for approximately 12 months.

The PMO Coordinator reports to the Associate Director of the IT Project Management Office (IT PMO). This role provides support for project governance, reporting, process improvement, and administrative coordination within the PMO. The position requires working three days in the office per week and may involve occasional peak periods with urgent deadlines.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Maintain and oversee project management methodologies, frameworks, and tools aligned with PMI best practices.
  • Ensure that project documentation meets governance and quality standards.
  • Assist in the development and distribution of PMO templates, guidelines, and process documents.
  • Track project compliance with IT PMO methodologies and reporting requirements.
  • Support the coordination of project stage-gate reviews and ensure proper documentation at each phase.
  • Maintain the IT Portfolio SharePoint site, ensuring project data is accurate and up to date.
  • Assist in generating and distributing monthly portfolio status reports for IT leadership.
  • Coordinate data collection for resource management, capacity planning, and project prioritization.
  • Provide support for tracking project budgets, expenditures, and financial reporting.
  • Provide guidance and support to project teams regarding PMO processes and tools.
  • Assist in developing training materials and communication strategies to improve project management maturity within IT.
  • Support the establishment of client satisfaction measurement tools to assess project success.
     

Qualifications / Requirements:

  • University degree or diploma in Business Administration, Computer Science, or a related field.
  • Minimum of 3-5 years of experience in a PMO, project coordination, or governance role.
  • Proficiency in Microsoft Office Suite, SharePoint, Power BI, and MS Project.
  • Strong organizational and administrative skills, with attention to detail.
  • Ability to analyze project data and generate meaningful reports.
  • Strong written and verbal communication skills with experience in preparing professional documents and reports.
  • Ability to build and maintain relationships with stakeholders at all levels.
