Description

The Faculty of Information Technologies is currently seeking a Full-time Limited Term PMO Specialist / Project Manager (two positions) for approximately 1 year, with possibility of extension. This is an intermediary position and not a contract. 

The PMO Specialist / Project Manager reports to the Associate Director of the IT Project Management Office (IT PMO). This role is a hybrid position that combines PMO coordination with project management for small to medium-sized infrastructure and application projects. The position requires working three days in the office per week and may involve occasional peak periods with urgent deadlines.

The key purpose of this position is to manage and deliver small to intermediate infrastructure/application projects while also supporting PMO governance, process improvement, and reporting. The role ensures that projects align with university policies, IT PMO methodologies, and solution delivery standards.

Types of projects include:

  • Infrastructure Projects: Data center hardware replacement, wire and wireless renewal, data center UPS upgrades, and cybersecurity infrastructure renewal.
  • Application Projects: Implementation and upgrade of IT applications supporting University operations.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Develop, maintain, and oversee project management methodologies, frameworks, and tools aligned with PMI best practices.
  • Ensure that project managers adhere to documentation, governance, and quality standards.
  • Maintain the IT Portfolio SharePoint site, ensuring project data is accurate and up to date.
  • Provide guidance, coaching, and support to project managers and teams.
  • Develop monthly portfolio status reports and present insights to IT leadership.
  • Coordinate project stage-gate reviews and ensure proper documentation at each phase.
  • Facilitate alignment between infrastructure and application projects and overall IT strategy.
  • Assist in resource management, capacity planning, and project prioritization.
  • Provide training and communications to IT teams regarding project management frameworks and standards.
  • Establish client satisfaction measurement tools to assess project success.
  • Project Planning and Scope: Define scope, goals, timelines, and resources.
  • Stakeholder Management: Engage stakeholders, communicate updates, and manage expectations.
  • Risk and Issue Management: Identify risks, develop mitigation plans, and resolve issues promptly.
  • Resource Coordination: Manage internal teams, vendors, and contractors to ensure efficient resource allocation.
  • Budget Oversight: Track project budgets, control expenditures, and ensure alignment with financial plans.
  • Technical Implementation: Oversee infrastructure design, testing, and compliance with standards and security.
  • Schedule Tracking: Monitor progress against milestones and adjust plans as needed to stay on track.
  • Quality Assurance: Ensure deliverables meet quality and security requirements through reviews and testing.
  • Change Control: Manage scope, schedule, and budget changes through established processes.
  • Documentation and Reporting: Maintain project records, provide status updates, and prepare financial and progress reports aligned with PMO methodology.
  • Post-Implementation: Support transition to operations, conduct training, and review project outcomes.

Qualifications / Requirements:

  • University degree in Computer Science, Engineering, or related field.
  • PMP certification (required).
  • ITIL Foundations certification (preferred).
  • Between 5-15 years of experience as a project manager
  • Organizational change management skills(nice to have)
  • Experience within a PMO or governance environment.
  • Proficiency in Microsoft Office Suite, SharePoint, Power BI, and MS Project.
  • Excellent problem-solving, strategic thinking, and communication skills.
    Ability to build and maintain relationships with stakeholders at all levels.
