Receptionist, Faculty of Qatar

Position Overview

Reporting to the Director-Student and Enrollment Services, the Receptionist will be part of the UCQ Student Services team but will also be the first point of contact for University of Calgary in Qatar students and guests.

The Receptionist is responsible for general reception duties and answering of the main telephone line for the University.  The incumbent will be assigned with various administrative and clerical tasks by the Student Services department. The incumbent will primarily interact with students and university guests on a front line basis, in addition to responding to inquiries and providing information by phone, email and in person from university faculty, staff and external community members.

Position Description

Qualifications/Expertise Required:

  • Qatari preferred. Alternately, Local Hire with family sponsorship.
  • Minimum High School graduation: a related certificate or diploma would be preferred.
  • General office and administrative experience, ideally in an educational setting.
  • Must be fluent and have strong spoken skills in English and Arabic.  
  • Strong written skills in both English and Arabic would be an asset.
  • Technical skills and strong experience using computer-based software such as the Microsoft Office suite including Word, Excel, PowerPoint, electronic email/calendar systems, experience with Internet. Ability to learn and use specialized computer programs such as the PeopleSoft System.
  • Excellent communication and customer service skills in person and on the telephone and the ability to communicate calmly and effectively with clients from a variety of backgrounds.
  • Strong interpersonal and communication skills are required in dealing with a range of questions and visitors, including tact, friendliness, and ability to deal with confidential matters in a professional manner.
  • Ability to demonstrate good judgment and creativity, and to use own initiative.
  • Time management skills, including punctuality and regular attendance, and the ability to work with minimal supervision within a team environment.


  • Welcomes (in person or on the phone) students, faculty, and the public, relaying accurate information and directing to the appropriate person or resource.
  • Provides basic information about UCQ and the programs of study and refers prospective students to Student Services for detailed information.

  • Supports the Student Services Office with administrative and clerical tasks including the creation and distribution of correspondence and informational materials, including mailouts.
  • Assists with recruitment and other university events such as open house and orientation.
  • Performs general office duties including filing; mail/fax distribution; photocopying; and receiving/sending courier shipments.
  • Maintains own work area and organizes own time successfully in order to complete work within specified deadlines.
  • Maintains the appearance of front area to ensure guests have a positive first impression.
  •  Seeks out or takes on new or temporary responsibilities as and when they arise.
