Project Finance Administrator, Research Accounting, Finance

Position Overview

Research Accounting within Finance is currently seeking two Full-time Regular Project Finance Administrators.

The positions report to the Team Lead, Project Maintenance, and will work with the Researchers and their staff to allocate or reallocate expenses via journal entry, budget entry, invoicing, reconciliation of accounts, and timely and accurate administration of project set-up. Research Accounting, a unit within the Finance portfolio, is responsible for the post-award financial administration of all project funds at the University.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Work in partnership with account holders, and administrators to ensure that funds are expended and accounted for in accordance with the terms and regulations provided by the source of funds and the policies of the University
  • Review transactional requests to process reallocation of expenses, salary recoveries, and revenue distribution, includes review of supporting documentation to insure eligibility and compliance, then generation of journal entries to process requests
  • Calculation and distribution of overhead on legal contracts and may upon request complete invoices required for cost recovery on Research projects
  • Performing cross-review of journals, invoices, project set-up, and project budgets are uploaded into PeopleSoft as part of their daily function
  • Ensure that projects are set-up in accordance with the stringent terms and regulations provided by the granting agencies and the policies of the University

Qualifications / Requirements:

  • Bachelors degree
  • Three to five years of experience working in a business and/or financial environment, equivalencies will be considered
  • Understanding of basic accounting concepts, and knowledge of GAAP
  • Strong analytical, problem solving and client service skills
  • Excellent organizational, written and verbal communication skills
  • Ability to work effectively in a high volume environment, handling multiple tasks, and using tact and diplomacy in all situations
  • Ability to work both independently and collaboratively within a team environment
  • Ability to produce results quickly and accurately
  • PeopleSoft knowledge an asset
  • Intermediate Microsoft Office skills
  • Previous experience with research administration and knowledge of Research funding agencies and their regulations would be an asset
  • Knowledge of University culture and cross-departmental policies would be an asset
