Position Overview

HR Operations within Human Resources is currently seeking a Full-time Temporary Relief Administrator for approximately 1 year.

This position reports to the Team Lead, Data Integrity, and will administer employee data for various staff groups, be involved in the administration of various annual HR processes, and be responsible for the maintenance of hires, terminations, and job changes that can occur thru an employee life cycle.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Accurately interpret, enter and maintain data in the HR Information System (PeopleSoft) as it relates to the employee life cycle
  • Provides knowledge, advice, and guidance regarding job related information and processes to employees, managers, HR staff and other university stakeholders. Escalates complex and impactful issues (e.g. retroactive payments) to the Team Lead
  • Responds to questions and issues raised to the Data Integrity team; investigates and verifies information; informs other interested parties and provides feedback to employees and other university stakeholders on employee specific situations and business processes
  • All activities, communication and data entry is completed with a holistic approach in conjunction with Payroll to ensure the employee pay and reporting is accurate and timely
  • Identify for the team lead or manager any individual or team operational issues, opportunities for improvement, training requirements, performance issues, etc.
  • Participate in the administration of various annual HR processes including the annual salary increases for Support Staff, Management and Professional Staff and Academics, ensure that transactions received during, and after the process receive the appropriate increases. (i.e. retro payments)
  • Identify opportunities for new auditing requirements, business processes, training or education for the Team Lead and participate in the development and documentation of related processes
  • Ensure confidentiality is maintained at all times and handled in compliance with privacy standards and practices
  • Run reporting and complete audits to ensure data in PeopleSoft is complete, correct and compliant within a timely fashion; also performs peer reviews and audits for other team members as required
  • Supports larger HR Operations team, including performing the functions associated with the Benefits and Leave Administration group

Qualifications / Requirements:

  • Bachelor Degree in related field (i.e.: Business Administration, Human Resources, Commerce, etc.) and one (1) to (2) years of recent, related experience working in a unionized environment.  An equivalent combination of education and experience may be considered
  • This position requires learning and demonstrating extensive knowledge of University policies, procedures, collective agreements and benefit plans
  • Attention to detail, demonstrated analytical and problem-solving skills are essential to deal with complex issues and concerns
  • Proven organizational and time management skills are necessary to set priorities and meet commitments
  • Excellent communication and customer service skills, tact and diplomacy are necessary to succeed
  • A proven commitment to modeling team values, collaborating with others to achieve timely and ideal results
  • A strong working knowledge of Microsoft Office applications (Word, Excel, Outlook)
  • A strong working knowledge of payroll administration and accounting principles is an asset to understanding impact on employee pay and organizational budgeting
  • Experience in a post-secondary education or public service environment is an asset
  • An understanding of University core business systems (e.g. PeopleSoft HR, Payroll and Benefits Administration) is an asset
  • Knowledge of applicable employment standards and legislation, , Alberta Labour Standards, union contracts, and government regulatory procedures is an asset
  • Strong client/customer service skills
