Position Overview

The Women's Resource Centre within Student and Enrolment Services is currently seeking a Full-time Regular Program Assistant .

The Women's Resource Centre (WRC) was founded in 2006 with a mission to provide a safe and supportive place to advance gender equality and build community through sharing, learning and teaching where all experiences are valued, and everyone is offered the resources necessary to make informed choices. With three pillars of Wellness, Leadership and Diversity, the WRC strives to achieve equity at the University of Calgary and to create a more inclusive campus environment where each individual's agency and voice are nurtured to contribute to the collective spirit of a community where citizenship and leadership is made possible for all, regardless of gender. The WRC is fully inclusive space and offers programs, services, and events that bring together individuals whether they are students, staff, faculty or members of the community.

Reporting to the Coordinator, Women's Resource Centre, the Program Assistant is responsible for all communications and events coordination for the Women's Resource Centre in addition to providing strategic support to all programs including the WRC Peer Helper Program and the Body Project Peer Leader Program and maintaining and updating the website and the Women's Resource Library. Additionally, it requires maintaining accurate records relating to visitors to the Centre and statistics on the volunteer program. The Program Assistant must demonstrate excellent interpersonal skills with the ability to communicate with students, staff, faculty, and the public in a courteous, patient and helpful manner. The incumbent must possess sensitivity towards and an appreciation of diversity in its broadest sense, including gender identity, sexual orientation, ethnicity, race, faith, age, and ability.

This position is predominantly located at the University of Calgary Main Campus; however, travel to the other campuses or off campus may also be required. This position works 35 hours a week, Monday to Friday, 8:30 am to 4:30 pm, however, due to the nature of this job, the Program Assistant is expected to work occasional weekends and evenings.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Event Planning and Program Support

  • Coordinate planning of major events such as WRC Awards and Women's Leadership Conference
  • Conduct some presentations and orientation on the Women's Resource Centre, its programs and resources
  • Provide support to volunteers to offer programming related to women's leadership, diversity and wellness throughout the year
  • Provide support to manage the Body Project Peer Leader Program
  • Create and maintain a welcoming and safe environment for the diverse population
  • Provide Peer Support services to students and visitors if necessary (or when volunteer peer supporters are not available)
  • Collect and compiles qualitative and quantitative data related to volunteers and visitors relevant to reporting on the Centre's impact


  • Inform all necessary stakeholders of upcoming events and workshops
  • Welcome visitors to the WRC
  • Maintain the WRC website, Facebook page and Twitter
  • Coordinate and publishes bi-weekly e-newsletter and annual newsletter
  • Prepare and distribute publicity materials for WRC programs and events

Office Administration

  • Manage logistics of events and programs including room/table bookings and catering orders
  • Maintain volunteer work area including computers
  • Maintain the User Tracking Database
  • Maintain the Women's Resource Library using the Destiny Library Manager and enhances the lending system with the support of a Project Assistant
  • Archive paper and electronic WRC materials

Qualifications / Requirements:

  • Bachelor's degree or post-secondary diploma in administration
  • A background in women's studies, gender studies, social work, or sociology an asset
  • Passionate and committed to gender equity
  • A warm and inviting personality with a great deal of energy and profound empathy skills
  • Ability to assess and refer WRC clients quickly and appropriately
  • Dedication and commitment to the philosophy behind the Women's Resource Centre and an ability to convey that message to those entering the WRC space
  • Experience in events planning
  • Strong organizational skills that facilitate multi-tasking including a meticulous attention to detail
  • Strong written and verbal communication skills and an ability to write in various formats depending on audience
  • Comfort with working independently as well as taking direction from the Coordinator
  • A high degree of flexibility, the ability to anticipate and adapt quickly to changing priorities in an effective manner, and the ability to work in an environment of continuous change
  • 3 to 5 years administrative experience
  • Superior proficiency with Microsoft Office Suite (Word, Excel, Access, PowerPoint, Publisher); experience with additional programs such as PeopleSoft, Marketo, Better Impact, Adobe InDesign, Adobe Photoshop, and web maintenance considered an asset
