Reporting Administrator, Research Accounting, Finance

Position Overview

The Department of Research Accounting within Finance is currently seeking a Full-time Temporary Relief Reporting Administrator for approximately 13 months.

Reporting to the Manager, Research Accounting, this position is responsible for the timely and accurate administration, accounting control and financial reporting of the University's sponsored research and other restricted funds. Working in partnership with faculties, departments, the Vice Presidents ' Offices, Research Services and the project holders, administrators ensure that funds are expended and accounted for in accordance with the stringent terms and regulations provided by the granting agencies and the policies of the University. 

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Work in partnership with faculties, departments, the Vice Presidents' Offices, Research Services and the project holders, administrators to ensure that funds are expended and accounted for in accordance with the terms and regulations provided by the source of funds and the policies of the University
  • Maintain trustworthy and productive working relationships with all stakeholders including University administration, the project holders and the granting agency / sponsor contacts and handle project-related communication and relations
  • Provide advice and administrative assistance to faculties, departments and project holders regarding:
    • Granting agency regulations
    • University policies and procedures
    • University financial systems
    • Research Accounting operations in processing project activity
  • Perform all aspects of project accounting and administer restricted fund projects based on authorized documentation
  • Project activity is monitored and administrators ensure that sufficient funds are available for capital items, monitoring over-expenditures, and compliance with University policies, granting agency regulations and the proposed expenditures
  • Prepare external and internal financial reports on project transactions
  • Billings and statements of expenditures are provided to granting agencies and sponsors, as required by the terms established when the projects are accepted by the University
  • Ensure adjusting entries including overhead and administration costs are calculated and processed
  • Responsible for the timely and accurate reporting of revenues and expenditures, in accordance with the reporting requirements and timelines of the granting agency and/or The University administration
  • Adequate documentation is maintained to support the project activity and reporting thereof. This often requires preparation of working papers and schedules, activity summaries, variance and comparative analysis and reconciliations
  • Provide explanation of documents, provide information and support as required by management and various auditors including internal, auditor general, and those of the granting agencies
  • Contribute to process and reporting improvement initiatives and may be required to contribute to special project teams established to evaluate and identify improvements to enhance systems, reporting, transaction processing and general administration of research and other restricted projects

Qualifications / Requirements:

  • Completion of bachelors degree
  • Three to five years experience in a business environment
  • Advanced skills and ability to use Microsoft Office, Cognos, Electronic Mail, and PeopleSoft
  • Understanding of basic accounting concepts, and knowledge of GAAP
  • Ability to produce results quickly and accurately
  • Knowledge of Research funding agencies and their regulations would be an asset
  • Knowledge of University culture and cross-departmental policies
  • An equivalent combination of education and experience
