Position Overview

The Undergraduate Science Centre in the Faculty of Science is currently seeking a Full-time Regular Program Advisor.

The Program Advisor provides student affairs expertise related to student admission, registration and progression through degree programs to graduation. The Program Advisor provides students with the necessary advice to guide them in making appropriate educational choices and decisions. This position involves considerable liaison with student advisors from other faculties, departments, Enrollment Services, Admissions and student support units. Reporting to the Manger, Undergraduate Science Centre, the Program Advisor provides advising and program management support for a wide range of student cohorts served by the Undergraduate Science Centre. 

Program Advisors facilitate student success by defining and implementing proactive strategies that help students stay on track to fulfill their educational goals. Program Advisors build supportive and personalized relationships with students, manage their day to day expectations, advise students on university policies, programs, degree requirements, procedures, and related matters, and work closely with other university support services to ensure that student inquiries are addressed in a timely and effective manner.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Advises current/prospective students in both a one-on-one and group setting regarding degree requirements and university policies and procedures.
  • Provides advice and assistance to students on all aspects of their academic experience, including progression and requirement matters for their chosen degree.
  • Corresponds with current/prospective students via email, phone or mail regarding academic questions.
  • Uses a thorough knowledge of program degree requirements as detailed in the University of Calgary calendar, to recommend programs of study that will allow students to successfully meet their goals.
  • Assists students in making informed degree program decisions, setting short and long term goals, and fulfilling the requirements of their degree choice.
  • Processes transfer credit for admitted students to ensure that it has been correctly awarded for the degree program selected.
  • Monitors student academic progress toward degree completion.
  • Resolves student program conflicts as they arise.
  • Processes degree audits, credit evaluations and graduation applications using academic software.
  • Evaluates and advises students in petitions for exceptions to departmental and University requirements.
  • Identifies students with GPA or progress problems, advises students, and recommends appropriate courses of action by the department (e.g., academic probation, dismissal).
  • Maintains records and files to ensure that information is as up-to-date as possible, recognizing that this information must be kept accurate and current for use by others.
  • Liaises with Enrollment Services, Admissions, and other units as appropriate.
  • Participates in cross-training to assist in other areas when needed and to meet Undergraduate Science Centre priorities.

Qualifications / Requirements:

  • Bachelor Degree and at least one year of student services, student affairs, or program advising experience.
  • Ability to successfully handle a large student workload with a positive student-centric attitude.
  • Outstanding interpersonal communication skills, including written, oral, one-on-one and group.
  • Strong critical thinking, judgement, attention to detail and decision making skills.
  • Abilities in problem identification, reasoning, and ability to develop original ideas to solve problems.
  • Ability to work under pressure to meet strict and multiple timelines.
  • Demonstrated ability to be resourceful, creative, innovative, and flexible.
  • Ability to work effectively individually and as a team member.
  • Experience developing and providing presentations for students.
  • Excellent computer skills including experience using technical advising tools such as student information management systems like People Soft or Banner, Degree Audit software and Microsoft Office.
  • Thorough knowledge of University policies, procedures and requirements including the Freedom of Information and Protection of Privacy Act.
