Administrative Assistant, Sports Medicine Centre, Faculty of Kinesiology

Position Overview

The Sports Medicine Centre(SMC) in the Faculty of Kinesiology is currently seeking a Recurring Part-time Administrative Assistant.

This position Reports to the Director, Operations SMC, and will provide a wide variety of support to the Medical Directors and Director of Operations in a timely, accurate and reliable manner.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Timely and accurate input using Peoplesoft programs
  • Filing and confidential records systems are maintained
  • Ordering and procurement of supplies as requested
  • Timely and accurate input of financial data and validation as required
  • Reconciliation and invoicing are efficiently and effectively completed
  • Effective management of caretaking, allocation and management of the Centre's broad facilities, and purchase/maintenance of equipment and supplies
  • Provides clients with information about the Centre; interacts extensively to serve graduate students, professors, physicians and other professional staff
  • Good relationships are established and maintained with staff in other campus units and individuals external to the Centre

Qualifications / Requirements:

  • Grade 12 education
  • 1-2 years related administrative assistance experience
  • Excellent knowledge of spelling, punctuation, grammar, letter formats etc. and the Microsoft Office programs of Word, Excel, PowerPoint
  • Experience with other desktop software programs and experience with the University's core business systems (Peoplesoft) would be a definite asset
  • Energetic and motivated to work with minimal supervision, team-player with a 'can-do' attitude, have excellent standards, ensure work is accurate and done in a timely manner, anticipate needs and issues
  • Demonstrate good judgement and discretion
