Research Administration Coordinator, Schulich School of Engineering

Position Overview

The Schulich School of Engineering is currently seeking a Full-time Limited Term Research Admin Coordinator for approximately 1 year.

This position reports to the Senior Research Advisor, and will provide research administration coordination to researchers and staff and to ensure effective and efficient delivery of functions of the SSE Research and Innovation team.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Administer research application tracking, and coordinate the approval process for research agreements and funding applications
  • Provide timely support to researchers, staff on faculty and university processes for research agreements, funding applications and post-award administrative issues
  • Maintain funding opportunity list, resources and supporting documents for effective and timely  operation of funding program cycles
  • Develop project timelines, monitor deadlines and closeout in collaboration with the Senior Research Advisor
  • Coordinate and execute all logistics and support for meetings or events as: major research funding application site visits, team building workshops, research funding information sessions
  • Extract and compile data from diverse sources, and keep records of: research funding statistics,  research performance measures for the faculty, grant applications, publications, citation and other relevant information as required by the Senior Research Advisor
  • Provides administrative support to the Prizes and Awards and other SSE Committees including, meeting logistics and documentation
  • Coordinates nomination of diverse Prizes and Awards, related to research, and provides administrative support to the nominees as required
  • Tracks success and maintains all supporting documents and resources
  • Faculty coordination support for various international funding opportunities in collaboration with Mitacs, and University of Calgary International team
  • Provides the Associate Dean (Research) with administrative support on compliance requirements for research and operating funding accounts
  • Responsible for completing accurate financial reconciliation tasks including: reviewing and verifying expenses and accounts payable; identifying and correcting discrepancies; and tracking, verifying and reconciling revenue and expenses

Qualifications / Requirements:

  • Post-secondary university education in Science, Engineering or a related field
  • 2-5 years work experience in coordinating and administrating projects is required; or an equivalent combination of education and experience may be considered if relevant
  • 3 years experience with data extraction and compilation, and ability to solve problems related to data management
  • 2 years experience in coordinating and administrating operations and projects is required
  • Knowledge of the research funding landscape is required
  • Experience with financial and budget administration tasks is essential
  • Excellent oral and written communication skills are required to prepare clear, concise correspondence, as well as to respond to enquiries with tact, confidentiality and discretion
  • Proven organizational skills with an ability to set priorities and complete multiple tasks within specified timelines in order to meet deadlines as demonstrated by 2 years’ experience
  • Demonstrated ability to take initiative and work independently without supervision, and strong judgment and attention to detail         
  • Excellent computer skills in Microsoft Office are required; skills in PeopleSoft, Adobe, and SharePoint
  • Knowledge and understanding of University plans and policies, as well as structure, governance and decision making processes is an asset
