Project Specialist, Tight Oil Consortium, Geoscience, Faculty of Science

Position Overview

The Department of Geoscience in the Faculty of Science invites applications for a Project Specialist. This 0.8 FTE / 28 hours per week Fixed Term position is for approximately 13-14 months for a maternity leave coverage.

Reporting to the Shell/Encana Chair in Unconventional Gas & Light Oil and Director of the Tight Oil Consortium (TOC), this Project Specialist (i.e., Project Manager) position is responsible for providing financial, human resources, and administrative support to a large project portfolio. The Project Specialist is required to independently manage and supervise the finance, human resource, sponsor relations, and administrative aspects of the TOC. Performed with no day-to-day supervision, duties include (but are not limited to) expenditure and time reporting approvals, financial reporting, budgeting, sponsor relations, HR support, and administrative support.

 

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Manage and supervise the financial, administrative, and human resource functions of projects and grants for the Director (i.e. the Researcher) of the Tight Oil Consortium, including other projects under the Director's portfolio
  • Provide support to the Director and Tight Oil Consortium in order to facilitate smooth functioning and to ensure compliance with granting agencies and sponsors, including expenditure approvals in accordance with eligibility guidelines and budgets (act as financial delegate), financial reporting, budget monitoring, and administrative activities - monitor, analyze, and problem solve regularly
  • Act as a point of contact on finance, legal, and administrative matters - liaise with Research Accounting, Research Services (including legal), and HR departments
  • Key sponsor contact and liaison, which is invaluable in ensuring continued Consortium success
  • Coordinate logistical arrangements and development of agenda materials for project meetings, including bi-annual sponsors meetings, Industry Advisory Board meetings, and other ad-hoc events, as well as updating Consortium's website
  • Assist with creating job profiles, and facilitate hiring of various positions - plus provide onboarding and training where necessary
  • Compile appropriate research records and statistics for strategic planning needs
  • Make recommendations to Director on development of policies and procedures that will be beneficial to Consortium and initiate changes to procedures or practices as necessary
  • Liaise with the research legal department on sponsor contracts and review/update contracts as necessary

Qualifications / Requirements:

  • Post-secondary education (business or accounting degree/diploma considered an asset) and 5+ years' experience, or combination of education and experience, in accountabilities associated with this position (experience in similar positions, or aspects of this position, within the University of Calgary considered an asset)
  • Exceptional communication, interpersonal, negotiation and organizational skills, including the ability to build strong networks with other faculties/departments
  • Strong financial analyses skills to effectively manage +/-$5 million in research funds
  • Ability to work with no day-to-day supervision or direction, and experience managing multiple competing priorities and deadlines
  • Ability to work independently in a confidential setting and demonstrate good judgment in dealing with sensitive and problematic situations - deal effectively with complex issues using judgment and initiating resolutions (understanding of FOIP rules and common legal jargon is beneficial)
  • An understanding of the University values, systems, and practices considered an asset
  • Knowledge of the PeopleSoft, eFIN, and Enterprise Reporting systems used at the University of Calgary for initiating and processing financial and human resources transactions is considered a valuable asset
  • Must possess a high degree of proficiency with Microsoft Office applications - specifically Excel, Word, PowerPoint, and Outlook
