Coordinator, Executive MBA Program, Haskayne School of Business

Position Overview

The Executive MBA (EMBA) Program in the Haskayne School of Business is currently seeking a Part-time Temporary Limited Term Coordinator for approximately 18 months.

The Haskayne Executive MBA (EMBA) Program consists of 20 academic courses supported by various networking and personal development opportunities during the two-year program. As a member of the EMBA program team, this position reports to the EMBA program's Academic Director.
 
The position requires working closely with Haskayne EMBA faculty, staff, and students in a dynamic work environment. This is a 28 hours per week, Wednesday to Saturday, (0.8 FTE) limited term.

The primary purpose of this position is to coordinate and support the front-line EMBA student learning experiences during classes (in-person, virtual, and hybrid) as well as various networking and personal development opportunities during the program. This requires working closely with EMBA faculty, EMBA staff, Haskayne Events Team, campus Information Technology, campus Commedia, campus Facilities, and external providers such as catering and event host locations to deliver a professional and seamless experience to each and every one of the EMBA program's demanding students. This position provides expert technical, communication, and content support for EMBA students and faculty, while also aiding the EMBA team through data analysis, financial analysis, and administrative support.  Business casual attire is required for the role.

 

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Class Administration & Support:

  • Primary on-site support person when EMBA courses occur (Fridays & Saturdays, block weeks) for EMBA students and faculty
  • Coordinate with ITS, Commedia, and Facilities to ensure best possible experience for course delivery (in-person, virtual, hybrid) for EMBA students and faculty
  • Advise, train, and support EMBA faculty on learning technology features and opportunities
  • Train, mentor, and support any additional EMBA technical assistants employed to aid EMBA course delivery
  • Develop, maintain, and continuously improve processes and checklists for effective and efficient EMBA course delivery
  • Coordinate the health and safety of EMBA students and faculty during classes including health monitoring and tracking, and disinfecting and cleaning shared classroom infrastructure
  • Promptly and professionally respond to EMBA student inquiries

Program Advising, Administration & Support:

  • Coordinate and compile EMBA Program Orientation PowerPoint content, event activities, and collaborate on schedules with guest speakers, Events Team, catering provider, event hosts, and faculty
  • Prepare EMBA student pictures and brief biographies at the start of each term each term, for each cohort and house, to facilitate student networking and faculty and staff recognition
  • Advise on and assist with researching, planning, promoting, and executing EMBA house system networking events, charity events, and health & wellness events for EMBA students and faculty
  • Responsible for overseeing and administering the EMBA house system D2L pages, communication, progress updates, encouraging healthy competition, and liaising with Haskayne communications team on related community development media stories
  • Actively promote, lead and participate in EMBA program networking and health & wellness events to generate increased energy and excitement for the EMBA community
  • Administering, compiling, generating, and distributing each graduating cohort’s individual keepsake slide of personal pictures, peer describing words, and peer signatures

Program Data & Financial Analysis:

  • Administer, compile, generate, analyze, and distribute the EMBA program peer feedback for each EMBA student, each semester, to aid students in their personal skill development throughout the program
  • Compile and statistically analyze program data from student surveys, course evaluations, peer evaluations, grade distributions, course outlines, events and other data for communicating results and recommending improvement opportunities
  • Conduct detailed financial analysis of EMBA program expenditures for cost-savings opportunities and internal knowledge sharing

Other Haskayne Graduate Program support:

  • Advise and share expertise to aid in supporting other Graduate programs if necessary

Qualifications / Requirements:

  • Completed bachelor's degree in business or commerce is required
  • Minimum of one-year experience working with Executive MBA students
  • Familiarity with Haskayne's EMBA program, processes, faculty, and staff is preferable
  • Must be highly proficient with the following software applications: Microsoft Excel (advanced formulas & macros), Microsoft PowerPoint, Adobe InDesign, D2L, and Zoom Video Communications
  • Experience procuring, implementing, and troubleshooting IT infrastructure and audio-visual technologies is required
  • Must have outstanding ability to effectively and efficiently communicate and influence a variety of internal and external stakeholders, including public speaking and written correspondence
  • Ability to respond to difficult or demanding individuals with patience, professionalism, and tact is preferred
  • Ability to work well under pressure, prioritize, plan, and organize work, handle multiple tasks and changing priorities with tight timelines in a calm and effective manner is required
  • Experience in conducting data analysis including statistical analysis is preferred
  • Finance and accounting analytical experience would be an asset
  • Must have proven ability to develop, recommend, and implement new work processes and procedures
  • Event planning experience would be an asset
  • This position requires the individual to set up and take down for events, which requires, but is not limited to, light lifting up to 50 pounds 
  • The role can involve being on your feet for the majority of the day supporting faculty and students when EMBA courses occur. Ability to work selected evenings and Saturdays including starting as early as at 7:00 am is required
