Senior Communications & Digital Specialist, Communication Services, Office of Advancement

Position Overview

The Department of Communication Services within the Office of Advancement is currently seeking a Full-time Regular Senior Communications & Digital Specialist.

Reporting to the Manager of Communication Services, Institutional Communications this person needs to be strong in digital communications and also able to write at a high level. Day-to-day job requirements will focus on meeting web-based applications, many of the updates we require are provided day-of and need to be completed immediately. This role will also have a split focus on communication/writing. This aspect of the role is often rooted in strategy, planning and helping internal clients manage reputations. Often, this is a longer-term plan and in addition to writing for various online and print publications, also requires interactions with clients.

This is a fast-pace role supporting senior leaders within the University of Calgary with complex and multiple priorities at once, often responding to urgent client needs on a daily basis. The successful client needs to be able to work on immediate, daily digital needs while also focusing on equally important, longer-term deliverables with a writing focus.

The senior communications & digital specialist position will work directly with the team manager and also, as requested, support other teams within the department. This successful candidate will be a strong team player, prioritizing the success of the team over the success of the individual. The successful candidate will be strategic, able to suggest and predict solutions for client communications while also willing to work tactfully to ensure one-off and project work are completed in a timely manner. This specialist role will also have writing assignments, being able to write web copy, event briefs and other materials that will have a campus-wide presence. In addition, this role will work direct with internal clients, helping internal clients develop and execute communication tactics that align with a strategic need.

Much of the work is fast-past and digital, but this role also requires writing expertise. The dual function of this role is to also act as a communications specialist and write news articles, event briefs and speaking notes, on occasion, and with support of other writers on the team. There may be ocassional evening and weekend work when workloads are high.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

DAILY CONTENT MANAGEMENT 10%

  • Minor, immediate/urgent website updates for clients

PRODUCTION & PLANNING 20%

  • Oversee digital content production for internal clients and work collaboratively across other internal teams who require your expertise
  • Initiate new ideas for digital communication, market them internally to get buy-in, collaborate across teams as needed, oversee implementation and measurement
  • Source and manage production demands when working with external vendors including photography, video and web graphics
  • Work with an understanding of design principles and UCalgary brand guidelines
  • Work with design tools, such as Adobe, Canva, InDesign, Photoshop, and others to supply basic graphic design
  • Build and maintain client websites, e-marketing campaigns, digital promotions
  • Help build and maintain eMarketing campaigns using tools like Marketo
  • SEO enhancements to UCalgary webpages on behalf of clients

MONITORING & EVALUATION 10%

  • Data analysis/user anaylsis/google analytics on client websites on a monthly and story basis, including evaluation against other content and determining trends and providing recommendations for continuious improvement
  • Working with team and clients to ensure metrics are understood, informative and relevant

EVENTS 10%

  • Marketo/LiveWhale content creation and approval for internal events
  • Constantly edit and streamline databases for Marketo, working with clients to ensure lists are current
  • Ensure event pages sync with client website pages, in some cases building new content pages
  • Manage all other digital event communication needs

COMMUNICATIONS 30%

  • Able to write for web and for print and a general understanding of the different techniques applied to the different writing mediums
  • Liaison with internal clients, providing counsel and written support as needed
  • Speechwriting

  • UToday story writing
  •  Attention to detail, experience in proofing and editing
  • Using principles of strategic communication and public relations, plan and execute communication campaigns that leverage a client's objectives
  • Understand and use the different techniques related to writing for web v writing for print
  • Create video stories for internal clients including writing scripts, creating storyboards, training participants, shooting video and editing it

RELATIONSHIP MANAGEMENT & PROJECT MANAGEMENT 20%

  • Able to develop awareness to issues that are sensitive and suggest ways to address issues diplomatically, respectfully and with a business mind.
  • Work with peers to set goals and key messages for client projects
  • Successfully deploy project management skills
  • Attention to detail, experience in proofing and editing
  • Write content for internal and external facing projects
  • Able to write for web and for print and a general understanding of the different techniques applied to the different writing mediums
  • Liaison with internal clients, providing counsel and written support as needed
  • Strong writing for web, writing for newsletter and writing interal briefs

CREATIVE PROBLEM SOLVING Varies per day

Qualifications / Requirements:

  • An undergraduate degree in marketing, digital media, public relations or communications is required
  • 8 - 10 years of experience in web management and social media, writing for web, public relations strategy/counsel, managing content architecture for websites and other digital communication is required, including crafting this content individually
  • Experience as a writer for both web and print is required
  • Experience in Marketo in building invitations, e-newsletters, and e-mail communications is required
  • Experience in Drupal building webpages, webforms and troubleshooting is required
  • Experience with design tools, such as Adobe Illustrator, InDesign, Photoshop and Cava is required
  • Experience in livewhale is preferred
  • Strength in writing for web
  • Knowledge of CMS systems- Drupal, Squarespace and others is required
  • Ability to use google analytics and develop and maintain measurement tools is required
  • Experience with web technologies - HTML, JavaScript, XML, and others is required
  • Knowledge of video platforms is required
  • A strong writer for both web and print
  • Experience in client services is required
  • Understanding of the principles of public relations/marketing – able to counsel clients on how to best leverage a program/service/idea/strategy and so on
  • Able to write articles for newsletter
  • Able to create a communications plan
  • Experience and enjoyment working in team settings
  • Strong interpersonal skills
  • Dedication to continue growing through course-based and on the job training opportunities
  • Willingness to experiment with new ideas and tools
