Position Overview

The Department of Community Health Sciences in the Cumming School of Medicine invites applications for an Administrative Support. This Fixed Term Recurring Part-time position is for approximately 8 months (based on length of grant funding), with the possibility of extension.

Reporting to the Principal Investigator.

CHIP is a publicly funded Complementary Health Integration Project, providing proven Complementary and Alternative Medicine (CAM) services specifically aiming for the improvement of pain, mental health, and addiction related health issues.

 

This is a recurring part-time position with variable hours.  Recurring part-time employees are hourly employees engaged to perform work on an irregular schedule. 

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Carry out administrative tasks associated to the research project(s), ideally with moderately complex issues

  • Prepare, edit, and proofread correspondence, invoices, presentations, publications, reports, and related documents

  • Organize and distribute incoming mail and other materials to coordinate the flow of information internally and externally to the department

  • Arrange meetings, including scheduling, providing agendas, meeting notes, and following up on action items for Principal Investigator and research team

  • Order office supplies and maintain inventory using appropriate software as required (e.g., PeopleSoft)

  • Answer in person, phone, and electronic inquiries

  • Greet visitors and direct to appropriate person where necessary

  • Organize events by arranging locations, ordering supplies, providing agendas, and answering inquiries

  • Compile and organize data, statistics, and other information to support research activities

  • Organize and coordinate all activities related to the research and clinical requirements

  • Draft routine correspondence and type, edit and proof-read general correspondence, administrative and teaching material, grant proposals, manuscripts, annual report, and other related documents from handwritten/typed drafts or Dictaphone, using various computer software programs

  • Prepare slide presentations and posters utilizing the applicable MS Office Product

  • Clinical activities may include assisting patients by booking appointments, requiring awareness of waiting lists and booking procedures of facilities and clinics and procedures to answer patient inquiries and to liaise between medical staff, patients and their families

  • Assist in coordinating patient care with physicians and medical and health personnel

Qualifications / Requirements:

  • A post-secondary Certificate/Diploma/Degree is required

  • Minimum 2 years of related administrative experience in CAM clinic is required

  • Strong written and verbal communication skills are a necessity

  • Immediate to advanced skills in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Internet skills are required

  • Must possess the ability to multi-task and effectively work with all employee groups, dealing with tact and diplomacy in all situations

  • A high level of understanding and capability of office administrative practices is critical

  • Must possess the ability to retain knowledge of a variety of informational resources and requirements

  • Must have fully proficient interpersonal and organizational skills

  • Must be able to demonstrate strong analytical skills

  • Demonstrated strong communication, team and customer service skills, and an ability to exercise judgment within established guidelines are required
