Education Coordinator, Continuing Medical Education, Cumming School of Medicine

Position Overview

The Office of Continuing Medical Education in the Cumming School of Medicine invites applications for a Educational Coordinator. This Full-time Fixed Limited-Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.

The Office of Continuing Medical Education and Professional Development (CME), University of Calgary's mission is to provide and coordinate integrated academic-focused educational and assessment activities and resources for lifelong learning that will contribute to improving health outcomes for Albertans and sustain the health care professional workforce.

This role will collaborate with the Physician Learning Program regarding joint CPD initiatives, including Physician Practice Improvement and Quality Improvement education.

This position reports to the Manager, CME&PD.  

The normal shift for this position is 7 hours per day, five days per week (1.0 FTE), usually Monday to Friday. However, this position will experience peak periods that may require staggered starts to the work day and some occasional changes to the work week.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Program Development with guidance from an Educational Consultant, to support high quality, educationally sound professional development activities:
    • Offer expertise as required in instructional design in the development, delivery and/or innovation of programs with stakeholders and stakeholder organizations
    • Act as a liaison to translate innovative ideas, programs, goals, objectives of established programs into logistics and arrangements
    • Lead and/or support course committees and advise course chairs, anticipating their needs, and potential pitfalls as a means to ensure appropriate adherence to policy, ethical standards, and responsible stewardship of funds
    • Work collaboratively with Educational Consultants and the CME team to ensure translation between program development and program delivery
    • Ensure accreditation standards for both Colleges are met in program design and delivery
    • Interpret policy and regulatory requirements related to course accreditation as developed by College of Family Physicians of Canada, Royal College of Physicians and Surgeons of Canada, Canadian Medical Association and other related health professional organizations
  • Course Administration and Support:
    • Implement and deliver  full-cycle course and event planning, execution and evaluations, including budgeting, scheduling, promoting/marketing for in person, online, virtual and hybrid events
    • Handle speaker arrangements, arranging for food and refreshments, audio-visual equipment and other related supplies when required
    • Communicate with speakers regarding topic, presentation time, location, paper work, deadline of presentation and handout etc.
    • Solicit information pertaining to course requirements, setup requirements and act as an information resource
    • Complete and verify paperwork pertaining to faculty, participants, and exhibitors
    • Proactively collaborate with parties internal and external to the university to ensure audio-visual needs, venue and catering needs are met
    • Suggest and make proactive changes to plans and procedures when required
    • Exercise sound judgement & decision making within University and CME guidelines to ensure successful delivery of course, events and activates
  • Financial:
    • Monitor course and event budgets
    • Track and ensure payments are processed for travel, accommodation, teaching services and event services
    • Work with registration staff to ensure registration, exhibitor and expense payments are processed
    • Assist with payments processing when required
  • Advisor / Leadership:
    • Represent Continuing Medical Education in a professional and competent manner
    • Work with and oversee various support staff such as set-up, catering and clerical staff to ensure the various course needs are met; delegate work when necessary
    • Responsible for the day to day leadership of logistical support of courses offered by the Office of CME
    • Day of leadership and coordination of CME&PD staff, faculty and others
    • Responsive and innovative troubleshooting regarding changes and problems as they arise; involving appropriate stakeholders
  • Communications:
    • Effective, timely and professional communication with all stakeholders
    • Communicate with program speakers (including webinar moderators) regarding paper work, time schedule, deadline of presentation and handout, bios, payment, scheduling, etc.Respond to program participants' general inquiries and handle routine communication
    • Correspond with commercial and not for profit exhibitors, obtaining setup requirements, ensuring fees are collected, and acting as an information resource person

Qualifications / Requirements:

  • Masters degree required, preferably in medical/health professions/education/adult learning
  • A minimum of 3 years of recent related  adult learning experience required
  • Knowledge/skill base in education, curriculum development, evaluation and instructional methods required for both asynchronous and synchronous environments
  • Demonstrated exceptional organizational, project management and time management skills
  • Intermediate to advanced skills in e-learning technologies, instructional design tools, etc such as Zoom, Mentimeter, Qualtrics
  • Knowledge of learning management system (LMS), an asset
  • Healthcare, quality improvement, systems thinking and coaching knowledge and/or experience an asset
  • Excellent interpersonal skills displaying professionalism, tact and diplomacy
  • Experience working with committees, volunteers, partners, sponsors, donors and high profile speakers and agents required
  • Calmness and good judgement required to handle complex, stressful situations appropriately
