Position Overview

The Dean's Office in the Faculty of Veterinary Medicine is currently seeking a Full-time Regular Operations Coordinator - Spy Hill (SHC).

Reports to the Manager, Vet Med Spyhill Operations. This front facing position serves as our lead/primary contact for Spy Hill Campus operations and administrative support for teaching related activities at Spy Hill.

This position is key to smooth day-to-day campus operations.  The successful candidate will be responsible for all general inquiries during business hours.  

This position works 35 hours a week, Monday to Friday, but on occasion, there may be the need to work outside of regular hours with compensation according to the AUPE collective agreement.  The hours of this position are typically 8:30 a.m. to 4:30 p.m. but changes to these hours may be required based on operational needs.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Operations - Clinical Skills Building:
    • All operational support for UCVMs Clinical Skills building, with support from the Manager Vet Med Spy hill
    • Investigate, report, trouble shoot and coordinate the repair of buildings and equipment (including but not limited to building envelopes, teaching and office equipment) at the Spy Hill Campus
    • Collaborate with room booking and communication teams to maintain building schedules for labs, classrooms, and meeting rooms (may include event setup, takedown, catering, parking, paying stipends/ honorariums and associated communications)
    • Lead reception for visitors to the clinical skills building
    • internal customers (students, faculty & staff)
    • external customers (contractors, couriers, & other)
  • Course Support:
    • Assist with the organization, coordination and facilitation of summits, retreats, OSCEs and course related events (including bookings, event setup, takedown, catering, parking, paying stipends/ honorariums and associated communications)
  • Other duties as assigned

Qualifications / Requirements:

  • Diploma in Business Administration or related field is required; undergraduate degree in related field preferred
  • 3-5 years of progressive experience in an administrative role
  • Previous experience in an academic environment required
  • Previous experience with PeopleSoft or e-procurement and financial software required
  • 1 year of experience in event planning and execution - Proven ability to work independently while managing conflicting priorities and demands
  • Proven ability to work in a team environment both as a leader and contributor
  • Willingness and ability to acquire a knowledge and understanding of University and Faculty policies, procedures and systems as they pertain to the Department
  • Demonstrated strong written and verbal communication skills and organization skills
  • Proficiency with Microsoft Office applications (Word, Excel, Outlook, Access, and PowerPoint), Adobe Acrobat, and Web maintenance experience required
  • Ability to multi-task and meet deadlines as well as possessing attention to details and proofreading skills
  • Experience working with confidential information - High degree of accuracy and attention to detail is essential
