Position Overview

Student Wellness Services within Student and Enrolment Services is currently seeking a Full-time Temporary Relief Administrative Assistant for approximately 1 year.

This position reports to the Manager, System Implementation and will provide reception, filing, and scheduling support for the general practice physicians, counsellors, chiropractors, nutritionists and massage therapists in Student Wellness Services. The work requires procedural knowledge and also contains the latitude to be able to make appropriate choices given unusual circumstances.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Patient appointments are booked using a computerized booking and billing program
  • All supporting information is accurately provided and captured for the patient files, while maintaining confidentiality
  • Ability to cope effectively, capably and calmly with patients on the telephone or in person who may be sick, and under pressure, in a professional, caring and timely manner
  • Works effectively with the Student Wellness Services team to identify opportunities for improving clinical effectiveness and implements changes in operations and booking schedules as recommended by the Team Lead
  • Ensures all computer schedules and receipt functions are maintained and correct and is capable of electronic payment management
  • Assists other Student Wellness Services kevstaff in designing and initiating the computer booking block schedules, and is pro-active in identifying any problems in the system
  • Prepare and pull patient information, perform routine filing of a variety of materials including lab and physician reports into established electronic file
  • Prepare correspondence as necessary for students and staff
  • Is knowledgeable and helpful to students in interpreting student health care plans and procedures
  • Provides administrative support such as faxing correspondence, sorting and delivering mail and medical records, and completing referrals, as necessary

Qualifications / Requirements:

  • Completion of Grade 12, medical office training an asset
  • Experience with medical booking and billing software programs an asset
  • Exceptional interpersonal and communication skills
  • Good computer skills, and experience in Microsoft Office suite, especially with Word
  • Ability to generate reports from booking/billing system an asset
  • Required to maintain strict confidentiality of all records
  • Highly organized, and able to work in a fast-paced environment
  • Professional presentation and work style
  • Current CPR certification preferred
