Position Overview

The Department of Medicine in the Cumming School of Medicine invites applications for a Research Administrative Assistant. This Full-time Fixed Term position is for approximately 11 months (based on length of grant funding), with the possibility of extension.

This position reports to the Principal Investigator of the IMAGINE Project and the Director, of the Inflammatory Bowel Disease Unit. The administrative research assistant will help with participates and assist the research coordinator with aspects of ongoing research, and the day-to-day tasks of maintaining and ongoing of recruitment of the participants. Main tasks will focus on daily calls, sample collection and distribution of collection kits, data entry under the IMAGINE study: Inflammation, Microbiome, and Alimentation: Gastro-Intestinal and Neuropsychiatric Effects: the IMAGINE-SPOR chronic disease network. Maintaining and submission of ethics.

Work hours must be flexible, Work hours may vary when required to reach changing deadlines, workloads and priorities in a dynamic research environment. 

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Maintain optimal data recording practices
  • Flexibility and the ability to refocus to meet deadlines and cope with the dynamic nature of clinical research are key
  •  Able to prioritize tasks to comply with research protocol needs
  • Calling patients, sample collection and sample kit creation.
  • Data entry
  • Maintain patient confidentiality
  • Assist a team of Investigators and other researchers by providing database support
  • Filing
  • Administrative duties including organizing and filing of confidential study records and computer technical support
  • Maintain communication with other groups and participate in continuing education
  • Maintain calendar for participants outlook calendar
  • Screening calls and telephone communication for all appointments
  • Other administrative duties as required

Qualifications / Requirements:

  • High school diploma required.  Post-secondary education an asset
  • Knowledge of University of Calgary system for ethics, procurement
  • Redcap knowledge
  • Demonstrated skills in database imputation
  • Maintains Confidentiality of Patient Information and Medical Records
  • Typing certification preferred
  • Strong Computer Skills, Microsoft Office suite, SharePoint experience, email and internet programs.
  • Strong and effective organizational, communication and interpersonal skills, verbally and written
  • Ability to maintain accurate records
  • Strong interpersonal skills
  • Cooperative and Dependable
  • Quick learner
  • Ability to work independently and interdependently within a team concept
  • Will be Required to Work Flexible Hours
  • Willing to Learn New Skills that Allow Excellence in the Conduct of the Research
